The Business Systems Analyst facilitates cross-functional discussions, identifies process gaps, helps teams navigate change, and maps out clear, effective ways of working. The position leads initiatives that span process improvement, team coordination, workflow clarity, and technology integration—all designed to strengthen day-to-day operations in support of student, staff, and faculty success.

Essential Duties :

Business Process & Practice Support

  • Conducts end-to-end analysis of operational workflows, practices, and human systems to identify friction points, gaps, and opportunities for efficiency.
  • Partners with functional leaders and staff to map current-state operations, design future-state workflows, and establish sustainable operational standards.
  • Evaluates cross-departmental practices to promote alignment, reduce duplication, and enhance both employee and student experiences.
  • Recommends operational and organizational practice improvements that align with college priorities and strategic initiatives.

Cross-Functional Collaboration & Facilitation

  • Facilitates discovery sessions, focus groups, process-mapping workshops, and consensus-building discussions across academic and administrative units.
  • Serves as a collaborative liaison between functional stakeholders, leadership, and technical partners to ensure mutual understanding of project goals and operational impacts.
  • Fosters strong working relationships across departments to align siloed practices, bridge communication gaps, and promote unified operational approaches.

Operational Resilience & Change Enablement

  • Proactively identifies operational risks, process bottlenecks, and implementation hurdles, developing proactive mitigation strategies and escalation paths.
  • Monitors project and process health, identifying emerging issues early to minimize disruption to academic and administrative operations.
  • Supports change enablement and risk reduction by conducting impact assessments, anticipating end-user friction, and designing targeted adoption strategies.
  • Develops clear communication plans, user guides, and training resources to smooth organizational transitions and ensure sustainable process adoption.

Functional and Technical Bridging

  • Serves as a primary functional liaison between college business units and technical partners (such as the Office of Technology Operations).
  • Translates complex operational needs, user requirements, and business rules into functional specifications for technology-enabled initiatives.
  • Partners with system owners to ensure operational workflows are accurately reflected in technical configurations and tool sets.
  • Supports user acceptance testing (UAT), validation, and functional readiness for system or process enhancements.
  • Identifies operational data needs and partners with data teams to define requirements for dashboards, tracking tools, and reporting solutions.

Project Coordination and Implementation Support

  • Coordinates operational improvement initiatives, gap resolution efforts, and cross-functional project deliverables.
  • Assists in defining project scope, timelines, task tracking, and milestone management for unit and college-wide efforts.
  • Supports functional administration, user access, and workflow management for college operational tools (e.g., Airtable, Salesforce, placement/internship systems).
  • Maintains operational documentation, standard operating procedures (SOPs), and functional system rules.

Desired Qualifications:

  • Experience in administrative operations, academic support, or organizational effectiveness within higher education or a complex organizational setting a plus.
  • Proven ability to facilitate discovery sessions, focus groups, and process-mapping workshops with constituents, including faculty, administrative staff, and college leadership.
  • Demonstrated experience gathering business requirements, mapping user needs, and translating operational workflows into functional specifications for technical and data teams.
  • Strong background in change enablement, user readiness, and process adoption, including developing communication plans, training materials, and standard operating procedures (SOPs).
  • Experience coordinating cross-functional initiatives, managing deliverables, tracking project dependencies, and maintaining project health across simultaneous efforts.
  • Familiarity with productivity, workflow, CRM, or placement platforms (e.g., Airtable, Salesforce, Sonia) from a functional business perspective, alongside the ability to articulate operational reporting and dashboard requirements to data partners.
  • Excellent communication skills, with a track record of synthesizing complex operational feedback into clear recommendations and actionable plans.

Working Environment:

  • Activities are performed in an environmentally controlled office setting and involve extended periods of sitting, keyboarding, and use of a computer mouse.
  • Position may require travel between campus locations or buildings for meetings or job-related tasks.
  • Regular activities require the ability to manage and adjust to changing priorities, including handling time-sensitive tasks and resolving conflicts.
  • MLFC supports flexible work options for certain positions, such as alternate work schedules and hybrid remote arrangements, subject to approvals per ASU policy.
