What You'll Do
Sales & Marketing support
Track leads and opportunities, keep the sales pipeline updated, and ensure timely follow-up.
Support marketing activity, including coordinating campaigns and content, maintaining a content and publishing calendar, and liaising with vendors or agencies as needed.
Prepare client-facing materials such as proposals, presentations, and follow-up communications.
Assist with basic market and competitor research to support commercial decisions.
Executive support
Work closely with the Managing Partner to capture tasks and requests as they come up — written, verbal, Arabic or English — and turn them into clear, trackable action items.
Maintain a running log of decisions awaiting the Managing Partner's input, organized so he can review and decide efficiently.
Prepare concise briefing notes for decisions: what's needed, the context, the options, and a recommendation.
Follow up and confirm that things are actually completed, rather than assuming they are.
Task and meeting systems
Maintain a live task board tracking work in progress, backlog, on hold, and completed items.
Take structured minutes for meetings: decisions made, action items with owners and deadlines, open questions, and follow-ups — and make sure the tracker is updated before a meeting is considered closed.
Produce regular status reports (daily task log, weekly summary) for the Managing Partner.
Record status based on confirmed facts only — never guess or assume.
Knowledge management
Organize meeting notes, company documentation, and standard operating procedures into a well-structured, easy-to-search internal knowledge base.
Keep a log of open questions that only internal stakeholders can answer, and flag the important ones proactively.
Help maintain HR and operations policy documentation.
Digital tools and AI adoption
Support the rollout and day-to-day administration of the company's AI tools (seat management, usage tracking, helping colleagues get started).
Help maintain simple automations and workflows that remove repetitive manual work — using tools like Microsoft Power Automate and no-code workflow platforms.
Keep internal guides and documentation for these tools up to date.
Research and vendor coordination
Carry out basic research tasks (market information, vendor options) using a structured, source-verified approach, and summarize findings clearly with a recommendation.
Support vendor comparisons: gathering quotes, checking claims, and helping put together a simple comparison summary.
General operations support
Assist with day-to-day administrative and operational projects across the group's entities as needed.
Help coordinate with other departments (HR, Finance, Legal, IT) on routine administrative matters.
Provide backup coverage for colleagues during leave.
Occasional support with the Managing Partner's personal administrative matters (e.g., renewals, appointments, supplier coordination).
What We're Looking For
2+ years of professional experience, with a background in sales and/or marketing (agency, corporate, or client-facing environment).
Experience in a startup environment is a plus.
A relevant bachelor's degree.
A fast learner, comfortable moving between different types of work and picking up new tools and tasks quickly.
Strong organizational skills and close attention to detail.
Excellent written and spoken English and Arabic.
Comfortable learning new software and digital tools quickly; genuine interest in AI tools is a plus.
Discretion and good judgment when handling confidential information.
A proactive mindset, following through on tasks to completion rather than requiring repeated follow-up.
Strong writing skills, with the ability to summarize information clearly and simply.
Tools You'll Work With
Microsoft 365 (Outlook, Teams, SharePoint, OneDrive, Power Automate), Excel, Word, Zoho One, and AI tools including Claude — full training provided.
