We’re looking for a Conference & Events Manager to join our team and take a central role in planning and coordinating conferences, meetings and events at 1 Hotel Copenhagen.
As our Conference & Events Manager, your main focus will be on the pre-planning phase. Once an event is confirmed, you’ll take ownership of the details, working closely with the client to understand their needs and bringing the right teams across the hotel together to make sure everyone is aligned ahead of the event.
You’ll connect the dots between our clients and our operational teams, ensuring that timings, setups, menus, technical requirements, guest needs and all the smaller details are clearly communicated and carefully coordinated. And when the event begins, you’ll remain a familiar face for the client, serving as their main point of contact and helping ensure everything comes together seamlessly.
In this role, you’ll:
Take ownership of the planning and coordination of confirmed conferences and events.
Act as the main point of contact for clients throughout the pre-planning process.
Build a clear understanding of each client’s needs, priorities and vision for their event.
Bring together the relevant hotel departments and ensure everyone is aligned on the event plan.
Coordinate closely with teams including Sales, F&B, Front Office, Housekeeping, Engineering and other operational departments.
Manage event details such as room setups, timings, food and beverage requirements, AV and technical needs, guest flows and special requests.
Prepare and communicate clear and accurate event information to all relevant teams.
Lead or participate in planning meetings and operational briefings ahead of events.
Stay close to the event on the day and act as the client’s key contact throughout.
Anticipate potential challenges and work proactively with the team to find solutions before they become issues.
Ensure a smooth handover between planning and operations, helping our teams deliver the experience that has been promised to the client.
Build strong relationships with both clients and team members across the hotel.
About you...
You’re someone who genuinely enjoys bringing people and details together.
You’re highly organised, structured and comfortable managing multiple events and priorities at the same time. You have a strong eye for detail, but you also understand that successful events depend on communication, teamwork and building good relationships.
You’re confident working directly with clients and enjoy guiding them through the planning process. At the same time, you’re just as comfortable working behind the scenes with different hotel departments to make sure everyone knows exactly what needs to happen and when.
You stay calm when plans change, think ahead and naturally look for solutions.
Previous experience within conference and event planning, hospitality or a similar client-facing coordination role would be ideal. Experience from a hotel environment is an advantage, as is an understanding of how different operational departments work together to deliver an event.
Most importantly, you bring warmth, ownership and genuine care to every interaction.
