Location: Eastern & Central time zones in the US

Work Schedule: Onsite, M-F 8 AM-5 PM

Travel Requirements: occasional office visits to support teams & based on project load

Reports to: Director - Facilities Management & Projects Program

Estimated compensation for this position is: $100,000 - $120,000 + annual bonus

What this job involves:

JLL is seeking a Project Coordinator to support the Projects Program across the East region of the client account. This role reports directly to the Facilities & Projects Program Director and is central to delivering the account's "one process, every project" standard partnering with our clients inhouse National Real Estate Team.

The ideal candidate has construction project experience – enough to follow along with construction project managers and general contractors, understand drawings, schedules, scope, potential office impact and translate that into clear, well-organized support for Office Services Leaders (OSLs). This person is extremely organized, comfortable building and using AI prompts to keep project support consistent at scale, and skilled with Microsoft Planner and SharePoint as the tools of daily execution.

What your day-to-day will look like:

Project Lifecycle Coordination

Track every project in the region through the program's defined project phases – Due Diligence, Schematic Design, Construction Drawings, Page Turn, Pre-Construction, Construction, Substantial Completion, Pre-Office Opening, and Post-Construction – confirming the defined outcome for each phase is met before the project moves forward.

Ensure the program's standard project documents – playbook, pre- and post-project sign-offs, execution checklists, and standard closeout packages are used consistently on every project, whether it's run by JLL, CBRE, C&W, or Newmark.

Confirm the agreed RACI is followed on every project, ensuring the right stakeholders – architects, engineers, security, WpX, facilities, AV, designers, and project managers are involved at the right points, every time.

Support scope sign-off and budget close-out during Pre-Construction, and track punch list and warranty items through to full closure in Post-Construction.

Construction & Technical Fluency

  • Read and follow construction drawings, schedules, and scope documents well enough to track progress, understand change orders and RFIs, and know when something needs to be escalated.
  • Sit in on construction meetings and project calls, understanding the conversation between architects, engineers, and construction project managers well enough to capture accurate notes, decisions, and follow-up items.

Flag scope, schedule, or business impact risks early, based on a working understanding of how construction projects typically progress and where they typically slip.

OSL & Stakeholder Support

Support Office Services Leaders – treated as the Projects Program's “client” – by keeping them informed, prepared for decisions, and confident that follow-up items are being tracked and closed, without needing to be present for every step.

Prepare OSLs ahead of key decision points (such as Page Turn and Pre-Construction sign-off) with clear, organized summaries of scope, options, and open items.

Serve as a responsive, organized point of contact for OSLs and other stakeholders on day-to-day project status and action items.

Tools, Documentation & Consistency

Build and maintain a SharePoint site for each project, serving as the single source of truth for documents, decisions, schedules, and photos – replacing inconsistent Teams channels and other ad hoc tracking.

Use Microsoft Planner to track tasks, owners, and due dates across every active project in the region, keeping the Director and stakeholders current on status.

Build and use effective AI prompts to support consistent project delivery at scale – for example, generating status summaries, meeting recap drafts, checklist reviews, or follow-up reminders so every project gets the same level of support regardless of volume.

Support the annual program refresher and audit process, helping identify where process, documentation, or tools need to be tightened up.

Support training of internal team members and third-party project managers on the standard project execution process, documents, and tools.

Regional Program Support

Partner closely with the Facilities & Projects Director to keep the East region's full project pipeline organized, current, and easy to report on.

Escalate risks, delays, or inconsistencies in process adherence promptly and clearly.

Contribute to a consistent, trustworthy project delivery experience across the region – recognizing that consistency, not just efficiency, is what builds client trust.

Required Qualifications:

  • Bachelor's degree in Construction Management, Engineering, Architecture, or related field, or equivalent work experience
  • 2+ years of experience in construction, project coordination, project engineering, or owner's-representative role, with enough exposure to construction projects to follow drawings, schedules, and scope discussions.

Exceptionally organized, with proven ability to manage multiple concurrent projects, deadlines, and stakeholders without letting details slip.

Comfortable using AI tools and building effective prompts to support consistent, repeatable project documentation and follow-up – this is a core, hands-on part of the role, not a nice-to-have.

Working proficiency with Microsoft Planner for task and workflow tracking.

Experience building and maintaining SharePoint sites, including document libraries and site structure.

Strong written communication skills, with the ability to produce clear meeting notes, status updates, and closeout documentation.

Comfortable working cross-functionally with OSLs, architects, engineers, designers, security, AV, and third-party project managers.

  • Proficiency with the Microsoft 365 suite (Outlook, Teams, Excel, Word).
  • Valid driver's license and ability to travel to project sites as needed

Preferred Qualifications:

Prior experience with a general contractor, architecture firm, or construction management firm.

Experience supporting corporate real estate, workplace, or facilities projects, ideally for a professional services or financial services client.

Familiarity with CMMS platforms (Corrigo) and/or experience with Procore, Bluebeam, Microsoft Project, or similar construction management platforms in addition to Microsoft Planner.

Please submit your application with an updated resume, location, and contact information. If you're a current JLL employee, please apply using the Internal Career Site.
