The Director of Academic Progress supports the Tanner College of Dental Medicine (TCDM) by analyzing student academic performance data, managing academic records and operations, and providing reports and recommendations that support student progression, faculty decision-making, accreditation, and continuous quality improvement.

The position collects, analyzes, and interprets academic performance data across TCDM’s accelerated three-year DMD curriculum, including course and competency assessments, commercial board-readiness examinations and question banks, and performance on the Integrated National Board Dental Examination (INBDE). The Director prepares reports for faculty, the Committee on Academic Performance and Standards (CAPS), and College leadership and develops institutional evaluations and related documentation supporting students’ applications for postdoctoral training, licensure, and scholarships.

The Director also manages key academic operations and records for the Office of Academic Affairs and works collaboratively with faculty, College leadership, Student Affairs, the Registrar, and other University partners to ensure the accuracy, consistency, and integrity of academic information.

Responsibilities:

Analyze examination, course, and competency performance across the three-year DMD curriculum and prepare reports for faculty, CAPS, College leadership, and continuous quality improvement initiatives.

Track and analyze indicators of INBDE readiness, including course grades, competency examination results, commercial readiness assessments, and question bank utilization and performance.

Serve as the liaison between the Office of Academic Affairs and commercial assessment and question bank vendors, including account management, utilization reporting, and vendor communication.

Monitor the progress of students placed on academic support, remediation, or probationary plans and maintain associated records and status reports.

Prepare academic progress reports and supporting documentation for CAPS and the Associate Dean of Academic Affairs.

Meet individually with students regarding academic progress, INBDE preparation, and completion of readiness benchmarks in coordination with course directors and student support services.

Oversee grade, attendance, and academic standing functions within learning management and assessment systems, including ExamSoft®.

Ensure the accurate and timely transfer of student performance data across academic platforms, assessment systems, and grading systems.

Provide support and guidance to students and faculty regarding academic and assessment systems.

Compile materials and prepare institutional evaluations, dean’s letters, and related documentation supporting applications to postdoctoral programs, licensure boards, external scholarships, and other professional opportunities.

Ensure student evaluations and related documentation are prepared in accordance with College policy and applicable confidentiality requirements.

Prepare and analyze data for the ADEA Survey of Dental School Seniors, internal course and program evaluations, and other student outcome assessments.

Present student outcomes and assessment findings to College leadership as appropriate.

Collaborate with the Director of Institutional Research and Effectiveness to support dental education research, program evaluation, institutional effectiveness, and continuous quality improvement.

Design, develop, and maintain data collection, aggregation, and reporting tools, including Microsoft Excel workbooks, dashboards, and structured data transfers.

Prepare and maintain data and documentation supporting CODA accreditation, self-study activities, institutional reporting, and other regulatory or accreditation requirements.

Coordinate academic operations, including course scheduling, room assignments, academic calendars, examination logistics, and distribution of instructional materials.

Collaborate with course directors and faculty to support effective curriculum delivery and academic scheduling.

Maintain academic records, policies, procedures, and other documentation for the Office of Academic Affairs.

Coordinate academic meetings, committees, and events, including preparation and distribution of agendas, materials, and meeting minutes.

Manage faculty onboarding, appointment, and credentialing documentation.

Track completion of faculty onboarding requirements, assessment platform training, and faculty development activities.

Provide administrative and academic support to the TCDM Dean, Associate Deans for Academic Affairs and Clinical Affairs, faculty, and other College leadership as needed.

Collaborate with Student Affairs, the Registrar, and TCDM administrative staff to ensure the accuracy and consistency of student academic data across the College and University.

Maintain the confidentiality and security of sensitive student, academic, and personnel information in accordance with FERPA, University policy, and other applicable requirements.

Perform other duties as assigned.

Education and Experience:

Master’s degree in education, educational measurement, data analytics, health professions education, public health, or a related field; or a bachelor’s degree with a minimum of five years of progressively responsible experience in academic administration, assessment, or a related area within a health professions program.

Experience in dental, medical, or other health professions education preferred.

Familiarity with the INBDE or comparable professional licensing or board examinations preferred.

Experience with commercial board-preparation resources, question banks, or competency-based assessment preferred.

Familiarity with Commission on Dental Accreditation (CODA) standards or other health professions accreditation requirements preferred.

Experience with ExamSoft® or comparable assessment platforms preferred.

Experience with statistical software, data visualization tools, dashboards, or other reporting technologies preferred.

Experience supporting academic progress, student promotion, or similar academic review committees preferred.

Demonstrated proficiency in data management, analysis, and reporting.

Advanced proficiency with Microsoft Excel, including formulas, pivot tables, conditional formatting, data validation, and data organization.

Experience preparing academic performance reports for faculty, committees, leadership, or other administrative audiences.

Experience with learning management systems, assessment platforms, and student information systems.

Strong written communication skills, including the ability to prepare formal evaluations, reports, committee documentation, and professional correspondence.

Strong organizational skills with the ability to manage multiple priorities, deadlines, records, and projects in a fast-paced academic environment.

Strong interpersonal and collaborative skills with the ability to work effectively with students, faculty, administrators, staff, and external partners.

Demonstrated professionalism, discretion, sound judgment, and commitment to maintaining confidentiality.
