WESTERN TITLE DIVISION

Job Description:

As an Escrow Assistant at Old Republic Title, you will play a vital role in the seamless execution of real estate transactions, ensuring that every step is meticulously managed with precision and care. You will be entrusted with the responsibility of opening, processing, and closing refinance and sale transactions under the guidance of experienced professionals. Your role will require you to communicate effectively with lenders, principals, realtors, co-workers, and other department personnel, ensuring that everyone is informed and aligned throughout the process.

*This is an office-based position from 8am to 5pm on a daily basis in our Koloa office. Remote applicants will not be considered. ­­­­­­­­­­

In this position, you will take charge of reviewing and verifying information in preliminary reports and title commitments, while also clearing title requirements by researching discrepancies and securing lien releases. You'll be tasked with pulling tax rolls, assembling signing documents, and scheduling appointments both inside and outside the office. Your attention to detail will be critical as you upload documents into our electronic filing system, document all conversations related to each file, and prepare funding packages with accuracy and efficiency. You'll thrive in a fast-paced environment, where your ability to work independently, prioritize multiple tasks, and meet tight deadlines will be key to your success.

*One year of escrow or real estate experience is strongly preferred but not required.

Essential Duties and Responsibilities:

  • Verifies and reviews all information in the preliminary report/title commitment while clearing title requirements by researching discrepancies, obtaining lien releases and clearing any other encumbrances.
  • Pull tax roll from assessor and review for accuracy and potential assessments and/or liens.
  • Assist in quoting our fees and charges.
  • Request/authorize loans to fund, receipt in funds, disburse funds including but not limited to sending out payoffs.
  • Schedule appointments, assembling documents for signing for both inside and outside of the office.
  • Assist with customer(s) signing of documents inside the office, as assigned by Escrow Officer and/or Branch Manager.
  • Upload all documents in appropriate category in the electronic filing system.
  • Document all conversations relative to each file, this will allow each team member to be informed as to the status of the file.
  • Assemble and submit completed Policy Write Up Instruction to the Title Department. This includes reviewing all documents to be recorded for accuracy and completeness.
  • Prepare funding packages, provide conditions, receipt in funds.
  • Complies with Company policies, procedures, Employee Handbook, regulatory requirements and complete mandatory company compliance training by prescribed deadlines.
  • At a minimum, the ability to work your scheduled office hours, Monday through Friday.
  • Ability to work overtime as requested by management.
  • Dependable, reliable and punctual attendance is required, which may include attendance at after-hour company events.
  • Other duties that may be assigned.

Knowledge and Skills Required:

  • Basic computer skills including proficiency in Microsoft Office Suite and Outlook.
  • Ability to work in fast paced environment while successfully performing under extreme time constraints and meets prescribed deadlines.
  • Strong attention to detail with excellent organizational skills, with ability to prioritize and handle multiple tasks and projects.
  • Ability to act independently with sound judgment and take initiative.
  • Written and verbal communications are clear, grammatically correct and business appropriate.
  • Must be able to perform the essential job functions of Receptionist position. May be required to back-up and/or assist the Receptionist as needed.
  • Knowledge of title insurance policies, endorsements and title pricing a plus.
  • Knowledge of escrow documents, escrow fees and terminology a plus.

The estimated pay range stated represents the typical pay range for this position or similarly employed employees or employees performing substantially similar work. Factors which may be used to determine the actual pay rate may include, but are not limited to, education, training or experience; seniority; merit and work performance; quantity or quality of production; regional differences in compensation; differences in local minimum wages, or ability and effort.

Position's Pay Range :

$20.00 - $24.00/hour
