The Opportunity

We're looking for a highly organized, detail-obsessed person to own the behind-the-scenes logistics of our conference program. Most of the role is hands-on work at our warehouse: packing, shipping, and tracking booth materials and swag for events across the country, often with several shows in motion at once.

You'll also support our CEO at local Austin events, including conferences where they're attending or speaking. Some of these fall on evenings or weekends.

What You’ll Do

Pack and ship booth kits, signage, collateral, and swag to conferences and events

Build and maintain a tracking system for what ships to each event, what returns, and in what condition, including overlapping events that share materials

Keep a running inventory of all event materials and swag

Flag low stock early enough to reorder before it becomes a problem

Log damaged or missing items and recommend replacements

Coordinate shipping deadlines with venues, advance warehouses, and carriers (FedEx, UPS, freight)

Unpack, inspect, and restock returned materials after each event

Support our CEO at local Austin events: booth setup and teardown, check-in, materials, and making sure everything they need is where it needs to be

Stay in lockstep with the events team on upcoming shows, timelines, and changes, and anticipate what's needed before anyone has to ask

Part-Time Details

Part-time, about 20-30 hours/week, with some flexibility around event deadlines

Weekend and evening availability required for local events, based on the event calendar

Pay: $19 - $25 USD per hour

Qualifications

Required

Exceptionally organized. You build trackers because you like to, not because you have to

Anticipates needs. You think two steps ahead and speak up before something becomes a problem

A strong communicator who keeps the team updated on shipment status, inventory levels, and issues without being chased

Comfortable in spreadsheets (Google Sheets or Excel), or eager to get comfortable

Able to juggle multiple deadlines and shipments at once without dropping anything

Proactive about flagging issues like "we're down to 40 tote bags" or "the backwall frame came back cracked"

Able to lift up to [40–50] lbs and be on your feet for extended periods

Reliable, with your own transportation to the warehouse and local Austin events

Preferred

Experience in shipping and receiving, inventory, retail stockroom, or event and trade show logistics

Previous experience in a fast-paced startup environment

Work experience in DTC health/wellness companies

Experience working remotely, with proficiency in Slack

Self-directed, proactive, and comfortable with ambiguity
