Executive Assistant – WHS (UK)

  • Job description
  • Amazon WHS (Workplace Health and Safety) is looking for an exceptional Executive Assistant to join a fast-paced, exciting, and growing team. This role will support two Directors and a global team.
  • You will need to be able to earn trust quickly, be resourceful, demonstrate high ownership, communicate effectively across all levels and roles, and maintain strong attention to detail and organisation. A high level of integrity and discretion in handling confidential information is essential, as is professionalism in dealing with senior executives inside and outside the company.
  • The successful candidate must have a demonstrated ability to manage complex calendars, coordinate domestic and international travel, process expense reports, and act as a general liaison between team members and leadership.

Key job responsibilities

  • Provide executive support to Directors and work closely with the leadership team and other Executive Assistants to provide support to the organization
  • Organise, prioritise and appropriately handle time-sensitive, confidential information and ensure required actions are addressed in a timely manner
  • Track and help drive completion of key deliverables and follow up on pending items
  • Manage complex scheduling, both internal and external
  • Arrange worldwide travel itineraries for the Directors, including booking travel and accommodation, building agendas, and any further requirements
  • Handle administrative tasks as required, such as expense reports, POs, space planning, and more
  • Serve as a business partner, ensuring strategic, proactive, and thoughtful support of the business cycle
  • Organise, execute, and assist with team activities (town halls, regional meetings, staff meeting agendas, all-org meetings, off-sites, on-sites, team social events, and volunteering activities)
  • Work with our international team across several time zones
  • Manage WHS-related projects as needed
  • Provide cover for other EAs in the team when needed

Basic qualifications

  • - Knowledge of Microsoft Office products and applications
  • - Experience as an Executive Assistant
  • - Experience with executive level calendar management
  • - Experience with domestic or international travel coordination
  • - Bachelor's degree

Preferred qualifications

  • - Experience leading process improvements
  • - Experience in a fast-paced, high-tech company
  • - Experience designing processes to maximize efficiency
