About the role

We're looking for a sharp, proactive Executive Assistant & Office Manager to be a trusted partner to our NYC-based executives and a warm anchor for our NYC office. This is a high-trust, high-visibility hybrid role, equally split between executive support and keeping our office running at its best.

You'll work closely with the executive team on scheduling, communications, travel, and special projects, while ensuring the office runs seamlessly and every visitor or team member feels genuinely welcomed. This role suits someone who takes pride in anticipating needs before they're voiced, operates with discretion and high EQ, and finds real satisfaction in making both people and environments run at their best.

What you’ll do with us

Create a warm, professional environment by greeting visitors, setting up conference rooms, and making sure guests feel well taken care of from the moment they arrive

Keep the office stocked and tidy, including food, supplies, and general upkeep so the space reflects the team's standards

Serve as the day-to-day point of contact for building management and vendors for routine needs

Own and manage calendars for NYC-based executives, proactively resolving conflicts, protecting focus time, and ensuring each day is structured for maximum impact

Coordinate complex domestic and international travel including flights, hotels, ground transport, and detailed itineraries for NYC-based executives

Prepare meeting materials, agendas, briefing docs, and follow-up summaries so NYC-based executives walk into every conversation informed and ready

Draft and manage correspondence on behalf of NYC-based executives with precision and appropriate tone

Track action items and key deliverables, following up with internal stakeholders to keep priorities moving

Support special projects and research as needed, from vendor evaluations to ad hoc analysis

Serve as a liaison between NYC-based executives and internal teams, investors, and external partners, handling sensitive information with full discretion

What you'll bring

3 to 5 years of experience as an Executive Assistant or in a similar high-trust operational role, ideally supporting a C-suite executive at a startup, investment firm, or fast-moving tech company

Exceptional calendar and time management skills; you anticipate needs rather than react to them

Discretion and mature judgment; you are trusted with sensitive conversations, documents, and relationships as a matter of course

High EQ and genuine warmth; you read the room and adapt your style to whoever you're supporting

Clear, polished written communication with comfort drafting emails, memos, and briefs on behalf of a senior executive

Strong organizational instincts with the ability to manage competing priorities without losing detail

A proactive, ownership-oriented mindset; you identify gaps before they become problems

Comfort with ambiguity and a desire to grow with an early-stage company
