Job Description
Catapult by CapitaLand is Singapore's premier executive education and leadership development campus. More than a venue, Catapult brings together corporates, learning providers, industry partners and business leaders through executive programmes, leadership offsites, conferences, corporate events and networking experiences. Located within Rochester Commons, Catapult provides a purpose-built environment designed to support collaboration, innovation, learning and business transformation.
We are looking for a hands-on and service-oriented executive to support clients in delivering successful meetings, conferences, executive programmes and corporate events at Catapult.
The Role
The Executive, Client Experience (Catapult), plays an important role in ensuring a seamless experience for clients, participants and guests from pre-event planning through on-site support and post-event follow-up.
Reporting to the Director, Sales & Business Development, the successful candidate will work closely with clients, vendors and internal stakeholders to coordinate venue requirements, operational arrangements and service delivery, ensuring clients have the support they need to execute successful events at Catapult.
This is a highly operational and execution-focused role suited for someone who enjoys engaging clients, managing multiple projects concurrently, solving issues proactively and delivering exceptional service experiences. The successful candidate will contribute directly to client satisfaction, repeat business and Catapult's reputation as a premier destination for executive learning and corporate engagement.
Key Responsibilities
1. Client Experience & Event Support
- Serve as the primary point of contact for assigned clients following booking confirmation.
- Coordinate client requirements and event needs from planning through completion.
- Conduct venue walkthroughs, planning meetings and pre-event briefings with clients.
- Provide guidance on venue capabilities, facilities, processes and available service offerings.
- Ensure client requirements are accurately documented and communicated to relevant stakeholders.
- Build positive client relationships and deliver a high standard of customer service throughout the client journey.
- Anticipate client needs and proactively address issues to ensure a seamless experience.
- As events may be scheduled outside normal business hours, the role requires flexibility to support evening, weekend and public holiday event operations when required.
2. Venue & Operational Coordination
- Coordinate venue preparations and operational arrangements to support client events.
- Liaise with internal teams and service partners on room setup, catering, AV requirements, access arrangements, signage and logistics.
- Prepare event orders, operational briefs, schedules and run sheets.
- Ensure event spaces and facilities are ready and aligned with client requirements.
- Monitor event-day operations and coordinate prompt resolution of operational issues.
- Provide onsite support to clients and serve as the key liaison throughout their event.
- Ensure service delivery standards are consistently maintained across all events and programmes.
3. Participant & Guest Experience
- Coordinate guest arrivals, reception services and VIP support arrangements.
- Ensure participants and guests experience a welcoming and professional environment.
- Attend to enquiries, requests and feedback promptly and professionally.
- Support the collection of client and participant feedback following programmes and events.
- Identify opportunities to enhance the overall client and guest experience.
4. Stakeholder & Vendor Coordination
- Work closely with Sales & Business Development and Marketing & Partnerships teams to ensure smooth delivery of client engagements.
- Coordinate with external vendors, service providers and contractors to fulfil event requirements.
- Monitor vendor performance and escalate service issues where necessary.
- Support procurement, purchase requisitions and administrative processes where required.
- Maintain strong working relationships with key stakeholders and service partners.
5. Administration & Reporting
- Maintain event schedules, client records and operational trackers.
- Prepare event documentation, reports and post-event summaries where required.
- Track client feedback, service recovery actions and improvement opportunities.
- Support invoicing, billing coordination and administrative follow-up activities.
- Ensure records and databases are updated accurately and in a timely manner.
- Support continuous improvement initiatives to enhance operational efficiency and client satisfaction.
Requirements
- Diploma or Bachelor's degree in Hospitality, Events Management, Business, Communications or a related discipline.
- 1-3 years of experience in client service, hospitality, events, customer success or related roles.
- Proficient in Microsoft Office applications
- Experience with CRM, event management or venue booking systems would be advantageous.
- Strong organisational and coordination skills, with the ability to manage multiple activities concurrently.
- Excellent interpersonal and communication skills.
- Strong attention to detail and ability to work in a fast-paced environment.
- Customer-focused with a proactive, positive and service-oriented mindset.
- Ability to work independently and collaboratively as part of a team.
