  • Coordinate contractors and suppliers, monitor service quality and follow issues through to completion.
  • Conduct regular workplace inspections, safety checks and risk assessments.
  • Support health and safety compliance, fire safety and emergency procedures.
  • Lead, support and develop the Receptionist and Office Assistant.
  • Ensure reception, meeting rooms and shared office spaces are professional, welcoming and ready for use.
  • Support internal events, office moves, workplace improvements and small facilities projects.
  • Check invoices, support cost control and arrange the procurement of services and equipment in line with company processes.

Candidate Profile

As Facilities Coordinator, you will manage the daily facilities operations of the Maidstone office. You will oversee services such as cleaning, security, waste management, catering and office supplies, while coordinating both planned and reactive contractor visits.

You will regularly inspect the workplace to ensure it remains safe, compliant and well presented. You will also support risk assessments, workplace checks, fire safety procedures, emergency preparedness and evacuation drills.

Alongside your facilities responsibilities, you will provide day-to-day leadership to the Receptionist and Office Assistant. You will help ensure that reception and office support services operate consistently and create a professional and welcoming experience for employees and visitors.

  • You have previous experience in facilities coordination, workplace services or office management.
  • You have line management or supervisory experience and are comfortable providing direction, support and feedback.
  • You have a good working knowledge of health and safety requirements within an office environment.
  • You have experience managing suppliers, contractors and service providers.
  • You are organised, detail-oriented and able to manage several priorities at the same time.
  • You are a practical problem-solver with a proactive and hands-on approach.
  • You communicate confidently and provide a high level of service to employees and visitors.
  • Experience with facilities systems, service request platforms or helpdesk tools would be an advantage.
  • You are comfortable working on-site in Maidstone and can adapt your approach to changing business and workplace needs.
