Description

Job Overview: Join our team as a Front Desk Receptionist supporting our Physical Therapy department. You’ll greet and assist patients and visitors, manage paperwork and patient demographic information in our EMR system, answer incoming calls, schedule appointments, check patients in and out, collect payments, and perform a variety of clerical duties. This role is essential to providing a welcoming patient experience and supporting the efficient operation of our Physical Therapy clinic.

  • Department: Physical Therapy
  • Reports To: Front Desk Manager
  • Schedule/Type: Full-time, onsite; Monday–Friday
  • Pay Range: $19–$26 per hour, commensurate with experience
  • Travel: Occasional travel between Boulder and Broomfield locations may be required
  • Bonus Eligibility: No

Position Note: Physical Therapy hours are Monday–Friday, 7:00 AM–6:00 PM. Specific schedule will be based on department needs.

Requirements

What You'll Do

  • Welcome patients, visitors, and staff in a professional, friendly, and courteous manner.
  • Check patients in and out while collecting required documentation, demographic information, and co-payments.
  • Answer and direct incoming telephone calls promptly and professionally.
  • Schedule and reschedule Physical Therapy appointments by phone and in person using the EMR system.
  • Coordinate appointments based on therapist availability and patient preferences.
  • Maintain accurate scheduling and patient records.
  • Communicate with therapists and staff regarding patient scheduling needs and concerns.
  • Answer routine, non-medical questions and provide appropriate information to patients.
  • Explain financial responsibilities, including co-pays, deductibles, and coinsurance, and collect payments as required.
  • Help ensure efficient patient flow and communicate delays to patients and clinical staff.
  • Maintain clean and organized reception and waiting areas.
  • Open and close the office as assigned.
  • Protect patient privacy by following HIPAA requirements and maintaining confidentiality.
  • Follow all clinic safety, security, and organizational policies.
  • Assist with ordering, receiving, stocking, and distributing office supplies.
  • Deliver exceptional customer service to patients, coworkers, and providers.
  • Assist with front desk coverage in other departments as needed.
  • Perform other duties as assigned.

What We're Looking For

Required Qualifications

  • High school diploma or equivalent.
  • At least one year of customer service, receptionist, or administrative experience.
  • Strong organizational skills with the ability to prioritize and multitask in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Ability to provide compassionate, professional customer service to patients and coworkers.
  • Comfortable handling sensitive and confidential information.
  • Ability to de-escalate difficult situations with professionalism and empathy.
  • Ability to work independently while contributing to a collaborative team environment.

Preferred Qualifications

  • Previous experience in a medical office or healthcare setting.
  • Experience using multi-line telephone systems.
  • Experience with electronic medical record (EMR) or practice management software.
  • Proficiency with Microsoft Office.
