Position Summary
Reporting to the Respiratory Manager, the Front Office Coordinator is accountable to execute the daily transactional & administrative tasks required in support of the Patient Success function.
At the core of this role are two critical components for success. The first, significant understanding, empathy and a willingness to shepherd patients in a customer service capacity. The second, a strong attention to detail while processing payments and while working in electronic data systems.
How You’ll Make an Impact
Be a shining example of the Hometown Healthcare values while shepherding inbound patients and any other visitors to the facility
Act as the primary on-site liaison for day-to-day office operations
Accurately, and promptly, check-in and check-out all Respiratory patients arriving and departing from the facility
Successful completion of all curbside (walk-ins) & customer pick-ups (exchange orders) transactions & record keeping
Oversight of the point of purchase display, cash purchase inventory and the reconciliation of inventory and the cash drawer
Timely transfer of medical records to off-site storage, supporting HIPAA compliance and effective records organization
Conduct fire extinguisher inspections across the office to ensure compliance with safety standards in addition to maintaining general office maintenance
Serve as the first point of contact for troubleshooting mail machine issues, ensuring minimal disruptions to outgoing communications and operational efficiency
Be a contributing force in the creation and/or continuous improvement of Standard Work within area of cognizance
What You Must Bring to This Role
High school diploma, general education degree (GED); or equivalent education and experience - required
Associates degree from a 2-year college and/or 4 years related experience or training; or equivalent combination of education and experience - desired
Proven ability to communicate clearly, both verbally and written - required
Proven success providing an exceptional client experience - required
A history of exceptional attention to detail - required
A history of maintaining confidentiality - required
Demonstrated mastery responding to questions in a tactful & professional manner - required
Strong interpersonal skills & the ability to effectively work with a wide range of individuals - required
Proven history of accountability & ownership - required
A working history with MS Office Suite, Google G-Suite, mobile & web-based tools - required
A working knowledge of Brightree, U-Sleep, and Snap Works software’s - desired
Demonstrated history working in the medical field, Pharmacy and/or with Durable Medical Equipment - desired
Success operating within a Quality Management System (QMS) or similar regulated environment - desired
