Position Overview

As a Global Program Specialist focusing on Digital Building Programs, you are a critical team member, ensuring our project managers and delivery teams operate with maximum efficiency, financial integrity, and compliance. This role moves beyond task completion to contributing to process enhancements, risk mitigation, and continuous improvement. You will be entrusted with managing financial and documentation segments of technical real estate projects acting as a subject matter expert and primary point of contact for mission-critical program functions. We are looking for an organized, proactive problem-solver and process champion capable of transforming operational support into a strategic advantage for project execution.

Finance & Contract Management

  • Financial Oversight: This role will be the primary financial point of contact for the project delivery team, collaborating closely with JLL and client finance teams across the financial life-cycle of the program.
  • WO Creation & Management: Partner with regional project teams to prepare, issue and monitor vendor work orders.
  • Invoice Authorization & Validation: Work with JLL stakeholders to authorize vendor invoices in Corrigo once work completion is confirmed. Lead the final validation of invoices against Task Order scope and PO amounts, exercising high scrutiny to ensure billing accuracy prior to payment release.
  • Contract Management: Ensure Top Line Service Management and Regional Project Delivery task orders are current and accessible to program stakeholders.
  • Partner Integration: Liaison with client and internal teams to support programmatic financial & contract management processes.

Program Coordination & Operations

  • Program Coordination: Manage day-to-day program operations, including maintaining and enhancing playbooks, MOPs, training materials, systems and group access management.
  • Site Coordination & Access: Notify stakeholders once Work Orders (WOs) are issued, and seamlessly coordinate schedules, site access, and vendor badging.
  • Meeting Administration: Attend weekly Remediation sync calls and weekly vendor calls to manage external partnerships and track project progress.
  • Strategic Partnership: Partner directly with project delivery teams and service lines to identify and implement process efficiencies.
  • Adaptable Support: Respond to planned or unplanned time-sensitive requests, enabling PjMs to maintain focus on high-priority client delivery tasks.

Governance & Reportin g

  • Program Reporting: Lead and/or contribute to financial, operational and client-facing reports.
  • Project Auditing & Compliance: Perform end-to-end project audits, including financial reconciliations and operational reviews, while ensuring all key deliverables and documents are maintained for program records.
  • Single Source of Truth: Monitor project reporting data sheets to ensure timely updates, enabling stakeholders to track progress with high confidence.
  • Continuous Improvement: Proactively document and streamline complex financial and administrative processes, contributing to the evolution of the program’s operational efficiencies.

Qualifications and Skill s

  • A Bachelor's degree from an accredited college or university is required.
  • Equivalent professional certification or extensive related work experience (5+ years) may be considered in lieu of a degree.
  • Minimum of 3+ years of progressive experience in program & project management delivery, financial coordination, or construction/technical administration.
  • Proven mastery in managing project budgets, invoicing, purchase orders, and complex financial reconciliation within enterprise resource planning (ERP) systems (e.g., SAP, Oracle, JD Edwards) and work order systems (e.g., Corrigo).
  • Superior organizational and analytical skills with a demonstrated ability to quickly comprehend, analyze, and interpret complex financial or operational documents and solve high-stakes issues with speed and flexibility.
  • Excellent written and verbal communication skills, capable of providing efficient, timely, reliable, and courteous service to internal partners, coupled with a high degree of accuracy and commitment to data and document integrity.

Expected compensation for this position:

  • 95,600.00 – 125,770.00 USD per year
  • Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
