POSITION SUMMARY
The Administrative Assistant is responsible for key administrative functions across the Department in an efficient and accurate manner. The role requires a high level of discretion in handling confidential infornation, and strong operational planning and communication skills.
Key Accountabilities Summary
Liaise with key internal and external stakeholders (RMIT Departments, Government stakeholders, Suppliers.. etc.) with a high level of professionalism, to arrange and set up meetings.
Coordinate the preparation and professional translation of Government-related correspondence (including but not limited to request letters, official dispatches, meeting minutes, briefings…) to be completed in a timely and accurate manner. Follow up as required.
Provide day‑to‑day coordination support for government events, including pre-event logistics arrangement, on the ground support for event implementation and post-event activities
Manage monthly department administration: contract management, purchase request, expense payment… in Workday system.
Manage department assets and merchandise and maintain document filing and record.
Undertake other executive secretarial tasks as required.
Key Selection Criteria
Minimum qualification of a bachelor’s degree with relevant experience
At least 2 years’ experience in a similar role
Demonstrated ability to prioritize effectively, manage multiple tasks, meet deadlines, achieve required outcomes, and effectively deliver results.
Well-developed interpersonal skills, including stakeholder management, negotiation, and cross-cultural communication.
Excellent written and verbal communication skills in both English and Vietnamese.
Ability to display appropriate behaviors in line with the position, RMIT Values and RMIT Leadership Model.

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS (General) with a score of at least 6.0 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
