the posting

As our HR & Administration Specialist, you will own HR operations and office management for PERGOLUX across the United States and Canada, acting as the dedicated People Operations contact for North America. You will prepare contracts, manage payroll data, run onboarding and offboarding end to end, and be the first person employees turn to for HR support, all while working independently and partnering remotely with our global People Operations team and locally with the Director of North America. As the region scales, you'll have the opportunity to deepen your cross-border expertise and grow into a broader North American People Operations remit.

At PERGOLUX, we bring Scandinavian-inspired outdoor living to customers across North America, from premium pergolas to garden furniture. We're a high-growth e-commerce company of ~300 employees with 9-figure revenue, operating across 8 markets, and we're building a People Operations function that combines genuine care with operational excellence, reflecting our core values of Unity, Integrity, and Appreciation.

What You'll Do

- Prepare, issue, and file employment contracts, amendments, and confirmation letters for Canada and the US, keeping employee master data accurate and personnel files audit-ready, and applying your knowledge of British Columbia employment law (working time, leave entitlements, statutory holidays, termination) with confidence while escalating complex or high-risk cases to the Head of People Operations.

- Provide payroll data to our external provider for Canada and the US (new hires, changes, exits), verify the calculations for plausibility, resolve discrepancies, and act as the first point of contact for payslip and payroll questions.

- Manage onboarding and offboarding end to end: documentation, payroll setup, system access, first-day coordination, HR process sessions, final pay entitlements, and statutory separation documents.

- Handle correspondence and administrative requirements with government and regulatory authorities in Canada and the US, making sure requests and deadlines are met.

- Run the Burnaby office as the owner: manage the landlord relationship and service provider agreements, keep equipment ready, and bring the team together through events and regular gatherings.

What You'll Bring

- Solid working knowledge of British Columbia employment law, including working time, leave entitlements, statutory holidays, and termination requirements.

- Hands-on HR administration experience across contracts, master data, and audit-ready personnel files.

- A good understanding of payroll-related employment rules such as vacation pay, statutory deductions, and final pay, with the ability to verify provider calculations and follow up on discrepancies.

- Strong organizational skills and the ability to work independently while partnering with a remote, international team.

- A caring, confidential approach to employee matters that reflects our values of Integrity and Appreciation, plus a plus (not a must) familiarity with US employment and payroll rules in Connecticut and California, which you'll have the chance to build if it's new to you.

💼 Compensation — Competitive salary · Retirement plan: 401(k) · Health insurance (health, dental, and vision)

🚀 Growth and Career Development — You'll build cross-border HR expertise across Canada and the US, gain international team exposure alongside colleagues in Europe and Latin America, and grow with a fast-scaling e-commerce company as North America expands.

⏰ Time Off and Flexibility — 12 days paid time off plus public holidays · Fridays home office · 1 week working remotely in Canada

🌟 Benefits and Lifestyle

- Regular team events, summer parties, and after-work gatherings

- Employee discounts on all PERGOLUX products

- Free drinks and snacks in the office

- Access to parking

📍 Office Location – 4720 Kingsway, Unit 2600, Metrotower 2, 26th floor, Burnaby, BC, V5H 4N2
