The Opportunity
Reporting to the Human Resources Manager, Payroll & Benefits, the Human Resources Specialist is responsible for administering employee benefits and the 401(k) plan, supporting payroll and HRIS operations, and assisting with HR initiatives and special projects. This role requires a high level of confidentiality, attention to detail, and discretion. The Human Resources Specialist partners closely with external vendors, brokers, payroll, finance, and internal stakeholders to ensure compliance, accuracy, and an exceptional employee experience across all benefits and HR programs.
Your Impact
Administer and continuously improve employee benefits programs and processes.
Maintain current knowledge of applicable federal and state employment, benefits, and leave laws to support compliance efforts.
Communicate benefit offerings effectively and provide employee education and training across clinical and corporate locations.
Manage new hire enrollments, qualifying life events, status changes, and benefit terminations.
Assist with the planning, coordination, and execution of annual open enrollment activities.
Audit benefit enrollment reports and vendor invoices to ensure accuracy and timely resolution of discrepancies.
Serve as the primary contact for benefit-related claim issues and insurance dispute resolution.
Coordinate and process benefit invoice payments.
Work closely with HR team members to manage benefit repayments and reconciliations related to leaves of absence.
Generate and maintain standard and ad hoc reports as needed.
Ensure accuracy of employee data through ongoing review, validation, and maintenance of HRIS, payroll, and benefits records.
Support the development, implementation, and enhancement of processes, workflows, and organizational structures within the ADP HRIS platform.
Serve as backup support for payroll processing
Assist with the testing, review, and implementation of HR technology upgrades and system enhancements.
Respond to employee inquiries promptly and professionally, delivering exceptional service consistent with ConvenientMD's core values.
Support HR programs and special projects, including compensation, performance management, employee engagement, diversity and inclusion initiatives, and other strategic people initiatives.
Collaborate across departments to improve HR processes, employee communications, and operational efficiency.
Who You Are
Experience supporting a multi-state, high-volume payroll, non-exempt payroll; prior payroll processing experience in ADP strongly preferred.
Two (2) or more years of proven experience using ADP Workforce Now; experience in ADP WFM or UKG timecards strongly preferred.
Experience supporting a large hourly population related to timecard accuracy.
Five (5) or more years of experience overseeing benefits and 401k administration.
Bachelor’s Degree in Human Resources, Finance, Accounting, Business Administration or similar field and/or equivalent experience.
Excellent organization skills and high attention to detail.
Able to work independently to prioritize work and meet tight deadlines.
Strong computer skills including the MS Office suite, with Smartsheet experience strongly preferred.
Positive, solution-focused attitude, excellent teamwork capabilities, and strong communication skills.
Prior experience managing a team of 1 or more employees, including directing and reviewing daily work.
High level of discretion managing and maintaining sensitive and/or confidential information.
Critical thinking skills that provide an ability to seek out new methods and principles; capable of implementing new practices.
Able successfully complete all pre-employment screenings/activities in a timely manner.
