Description

Barrow Brain and Spine are a world-class, physician-owned specialty practice focused on neurosurgery and advanced spine care. The Medical Assistant / Care Coordinator plays a dual clinical and administrative role, working under limited oversight to manage daily clinic operations, maintaining seamless workflows, and provide exemplary customer service to neurosurgical patients and their families.

Requirements

Essential Duties and Responsibilities

  • Rooming & Vitals: Greet and room patients, take vital signs, and accurately record initial clinical assessments in the patient chart for physician review.
  • Clinic Operations: Prepare, organize, and run daily clinics independently with limited oversight from the Lead Care Coordinator or Practice Operations Supervisor.
  • Provider Support: Act as an ambassador for the assigned physician, screening incoming telephone calls, managing clinic templates, and coordinating referrals to outside providers.
  • Environment Maintenance: Perform routine inventory checks and keep clinic exam rooms fully stocked, sanitized, and operating efficiently.
  • Chart Preparation: Open chart encounters in AthenaOne and verify that all initial consultations, lab slips, pathology reports, and radiology disks (MRI, CT, X-ray) are uploaded and available prior to patient arrival.
  • Order & Rx Management: Input provider orders, manage electronic prescriptions (E-Prescribe), and generate comprehensive clinical visit summaries.
  • Tracking & Compliance: Manage physician recall lists, create diagnostic reviews, track pending tests, and aggressively follow up on non-compliant patient orders.
  • Patient Intake: Register new patients within the Electronic Medical Record (EMR) system, securing accurate demographic and insurance verification data.
  • Scheduling: Book patient appointments for initial consultations, diagnostic imaging, lab tests, and physical therapy.
  • Surgical Back-Office support: Coordinate patient surgeries by handling specialized scheduling, insurance pre-authorizations, medical billing documentation, and FMLA/disability paperwork.
  • Privacy & Compliance: Strictly maintain patient confidentiality by adhering to all HIPAA guidelines and participating in annual BBS Compliance training.

Job Requirements & Qualifications

  • Education: High School Diploma or GED required; Graduate of an accredited Medical Assistant program preferred. A bachelor’s degree is a plus.
  • Experience: 1–2 years of experience in a fast-paced medical office or specialty surgical setting required.
  • Technical Skills: Proficiency with EMR systems (experience with AthenaOne is highly preferred) and standard office equipment troubleshooting.
  • Communication: Exceptional verbal and written communication skills with a strong, empathetic bedside manner.
  • Core Competencies: Excellent organizational, prioritization, and multi-tasking skills. Must possess a deep passion for fostering a culture of excellence and delivering superior patient experience.

Comp & Benefits:

We offer a comprehensive compensation package. This includes benefit offerings you’d expect to see at a large company, all designed to help you take good care of yourself and your family. The benefits include:

  • Choice of two medical plans – HRA, HDHP/HSA options
