Office Administrator – Part Time

Administrative Support | Light Financial Administration | Office Organization

The Drain Doctors, Inc. — Snohomish, WA

The Drain Doctors is a family-owned business with more than 20 years of experience in plumbing and drainage repair, maintenance and service. We are growing quickly and adding team members who are looking for the opportunity to learn, develop and grow with us.

We're looking for an organized, dependable and detail-oriented Office Administrator to help keep the administrative side of our business running smoothly.

If you enjoy keeping things organized, working with numbers, helping others, and making sure important details don't fall through the cracks, we'd like to meet you.

You don't need to be the boss to be incredibly valuable here.

What you'll do:

Office Administration

Maintain organized office records, supplies and administrative systems.

Prepare documents, manage filing and support day-to-day office needs.

Help leadership and other departments stay organized.

Invoicing & Accounts Receivable

Prepare and send customer invoices.

Follow up on outstanding customer balances.

Communicate professionally with customers regarding billing and payment questions.

Maintain accurate invoicing and payment documentation.

Accounts Payable & Financial Support

Organize vendor invoices, receipts and expense records.

Prepare bills and process approved routine payments.

Maintain accurate administrative and financial records in Jobber and QuickBooks.

Coordinate with our outside bookkeeping team.

Payroll & Employee Administration

Collect timecards and approved payroll-supporting information.

Assist with employee paperwork and onboarding documentation.

Maintain organized and confidential employee records.

Team & Company Support

Assist Sales and Installation with project paperwork, permits and administrative documentation.

Support company communications, employee recognition and occasional team events.

Follow up on missing information and help ensure administrative responsibilities are completed.

You will not be expected to function as our accountant or full-charge bookkeeper. Our outside bookkeeping professionals handle payroll processing, formal reconciliations, financial statements and technical accounting.

And you will not be responsible for managing our employees, answering incoming customer service calls or scheduling field appointments. Those responsibilities belong to other positions.

Your responsibility is to keep the administrative side of the company organized, accurate, complete and moving forward.

Who We're Looking For:

You may be a great fit if you -

Are naturally organized and detail-oriented.

Enjoy working with numbers and maintaining accurate records.

Communicate warmly and professionally.

Take pride in getting things right.

Can manage several priorities without losing track of important details.

Take initiative without overstepping.

Work independently and follow through without constant reminders.

Handle confidential information responsibly.

Are comfortable learning new software and systems.

Enjoy supporting others and being part of a team.

Want to continue learning and developing professionally.

Most importantly, we're looking for someone whose character aligns with our Company Values.

Our Company Values guide how we work with our customers and with each other:

Transparency • Humility • Integrity • Collaboration • Growth Mindset • Finish Strong

Desired Experience:

We prefer 2+ years of office administration, administrative support, accounts receivable, accounts payable or similar experience .

Experience with invoicing, financial recordkeeping, QuickBooks or other accounting software is especially helpful.

We use Jobber for our customer and job management system. Previous Jobber experience is a plus, but not required.

Experience in construction, plumbing, home services or a small-business environment is helpful, but isn't necessary.

We'll teach the right person our industry and systems.

What Success Looks Like:

Success isn't about being in charge of everyone. It's about becoming someone everyone can count on.

The office stays organized.

Customer invoices are accurate and sent on time.

Outstanding balances receive appropriate follow-up.

Vendor invoices and receipts are organized.

Jobber and QuickBooks records are maintained accurately.

Our bookkeeper receives complete documentation.

Payroll information is collected and submitted on time.

Sales and Installation receive dependable administrative support.

Confidential information is handled responsibly.

Important details don't fall through the cracks.

And when something needs attention, you notice it and help make sure it gets to the right person.

Compensation, Schedule & Benefits:

Compensation: $27–$32 per hour, depending on experience and qualifications.

Schedule: Part-Time | Approximately 20–25 hours per week | In-office

* Benefits are subject to company policies and eligibility and may include: paid time off, paid holidays, retirement plan options, paid training and professional development.
