This role is best suited to an individual who is flexible, collaborative and willing to contribute across a broad range of responsibilities as the Japan office continues to grow and evolve.
Key Responsibilities
- Manage the day-to-day operations of the Japan office, ensuring a professional, efficient and well-functioning workplace.
- Coordinate office facilities, supplies, occupancy matters, access controls, visitor management and relationships with building management.
- Manage relationships with external vendors and service providers, including administrative, facilities and office-related contracts.
- Coordinate business travel arrangements, expense administration and related insurance processes in accordance with company policies.
- Support employee onboarding and offboarding activities and liaise with internal stakeholders on employee-related administrative matters.
- Coordinate meetings, business visits, presentations and office events.
- Maintain office records, company documentation, invoices, contracts and other administrative processes.
- Support mail handling, courier services, office inventory management and general office administration.
- Provide administrative and operational support to business teams, including Front Office stakeholders, as required.
- Assist with office initiatives, projects and ad hoc activities that support the continued growth of the Japan business.
- Foster a collaborative environment and demonstrate flexibility in supporting the broader team wherever needed.
Qualifications & Experience
- Prior experience in office management, administration, executive support, facilities management or a similar role.
- Strong organizational and multitasking skills with the ability to manage competing priorities independently.
- Experience coordinating with vendors, building management, external service providers and internal stakeholders.
- Strong attention to detail and ability to handle confidential information professionally and discreetly.
- Excellent communication and interpersonal skills.
- Native or business-fluent Japanese and strong English language proficiency.
- Proficiency in Microsoft Office applications.
- Demonstrated ability to work in a dynamic environment with a hands-on, service-oriented mindset.
- Experience within financial services, asset management or a corporate environment is preferred.
- Enjoys taking ownership, solving problems, supporting colleagues and helping build a positive workplace culture
