A day in the life....

Operations Assistant

The Operations Assistant provides administrative, operational, and guest service support for Hotel Baxter. This entry-level position assists with office administration, guest engagement, marketing initiatives, team member programs, community outreach activities, and restoration-related projects. You will be involved with all aspects of the operation.

Requirements

To be successful as the Operations Assistant, you: are organized, professional, service-oriented, and eager to learn. This position offers a unique opportunity to help support the restoration of one of Bozeman's most iconic landmarks while gaining valuable experience in the hospitality industry. You will use you your strong written, verbal communication skills along with your organizational skills in the following areas:

Provide Administrative & Operational Support

  • Maintain calendars, schedules, records, filing systems & operational documentations
  • Coordinate meeting logistics, agendas, and follow-up action items.
  • Help ensure compliance with policies, procedures, and operational records
  • Support day-to-day administrative functions related to building operations and restoration activities.
  • Assist with vendor communications, project documentation, scheduling, and invoice tracking.

Hospitality & Guest Experience Support

  • Serve as a welcoming first point of contact for visitors, guests, vendors, contractors, and community members
  • Answer incoming phone calls, emails, and general inquiries in a professional and hospitality-focused manner.
  • Develop knowledge of Downtown Bozeman attractions, dining, shopping, and community resources to assist visitors and future hotel guests.
  • Assist in maintaining a professional, organized, and guest-ready environment throughout public areas.
  • Demonstrate a commitment to exceptional service and creating positive guest experiences.

Community Engagement & Employee Experience Support

  • Assist with planning and coordinating employee appreciation activities, communications, training events, staff recognition programs, and team-building initiatives
  • Support community-focused gatherings and public-space activations that align with Hotel Baxter's role as a Downtown Bozeman landmark
  • Help coordinate seasonal décor, hospitality experiences, and public-space enhancements.
  • Support marketing and social media efforts through content collection, storytelling, and promotion of company culture and historic preservation initiatives.

The perfect position to show your skills:

  • Positive attitude, professionalism, and willingness to learn.
  • Ability to manage multiple priorities in a fast-paced environment with an attention to detail.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Previous experience in customer service, hospitality, retail, office administration, or a related field or Associate degree or coursework in these areas
