Description
Position Summary
The Operations Manager is responsible for the efficient, safe, and effective day-to-day operation of the organization’s facilities and related operational functions. This position oversees facility maintenance, vendors, grounds, safety and security systems, inventory, warehouse and retail operations, and assists with capital improvement and construction projects.
The ideal candidate is a hands-on, service-oriented professional who can balance facility and operational responsibilities while identifying opportunities to improve efficiency, control costs, and support the mission of the organization.
Essential Responsibilities
Facilities Management
- Oversee day-to-day facility operations, including maintenance, custodial services, landscaping, and grounds.
- Coordinate preventive maintenance and respond to facility repair needs.
- Perform or coordinate minor maintenance and light handyman work as appropriate.
- Assist with snow removal, shoveling, and salting when necessary.
- Coordinate capital repairs and improvements.
- Plan and oversee replacement of equipment, furnishings, and related facility assets.
Vendor & Project Management
- Manage relationships with facility, inventory, maintenance, and other operational vendors.
- Coordinate vendor services, schedules, contracts, and performance.
- Participate in the planning, review, and coordination of construction and remodeling projects.
- Serve as an organizational liaison with contractors, project owners, and other stakeholders.
- Support Rosaries for the World and related vendor and inventory administration.
Safety, Security & Building Operations
- Monitor facility safety, security, and accessibility.
- Coordinate with vendors responsible for building access, alarm systems, and related security functions.
- Maintain HVAC schedules based on facility use and operational needs.
- Identify and implement appropriate energy-conservation measures.
- Review processes, equipment, and systems to identify opportunities for greater efficiency and cost savings.
Retail, Warehouse & Inventory Operations
- Serve as the primary operational point of contact for marketing fulfillment services related activity.
- Oversee e-store inventory and related operational functions.
- Maintain appropriate inventory levels for marketing materials and other organizational supplies.
- Review and approve large rosary requests.
- Support warehouse, shipping, receiving, and trade-show logistics.
- Monitor and respond to Order Department communications.
- Process and reconcile applicable online donations and transactions.
- Monitor and report online screening and DVD sales activity for Family Theater Productions.
- Prepare routine inventory, sales, and operational reports as needed.
Other duties as required.
Requirements
Qualifications
- Demonstrated experience in facilities, operations, property management, or a related field.
- Experience managing vendors, contractors, maintenance activities, and operational projects.
- Strong organizational, problem-solving, and communication skills.
- Ability to manage multiple priorities independently and respond appropriately to changing operational needs.
- Basic knowledge of building systems, maintenance practices, safety, and security preferred.
- Comfortable performing occasional hands-on facility and maintenance tasks.
- Proficiency with standard office technology and the ability to learn organizational systems and platforms.
- Ability to work collaboratively in a mission-driven, nonprofit environment.
Physical & Scheduling Requirements
The position requires the ability to move throughout facilities and grounds, occasionally lift and move supplies or equipment, and perform limited maintenance-related activities. Some early morning, evening, weekend, or weather-related work may occasionally be required based on facility needs.
Compensation
The anticipated salary range for this position is $59,000–$97,000 annually, based on experience, qualifications, and the scope of responsibilities assigned.
