the posting
- At some point in the future, every business will answer their phone with voice AI. We are building the platform that makes it possible.
- Phonely builds conversational voice AI agents for high volume phone workflows. Our customers use us to qualify leads, book appointments, route calls, and resolve real customer conversations in production. We are growing fast and just getting started, which means our operations are being built in real time, and we need someone to own the systems, data, and day-to-day execution that make them run.
- About the Role
- This role splits roughly in half. One half is revenue and business operations: the systems, reporting, and analysis behind our go-to-market motion. The other half is Pay Per Call operations, where you'll be the person who keeps our publisher and buyer marketplace running, from billing and partner onboarding through the voice AI agents that handle the calls. Pay per call experience preferred but not needed; you can learn the marketplace side from us.
- You will be wearing a lot of hats. Some weeks you're deep in HubSpot workflows or running a funnel analysis for leadership. Other weeks you're reconciling end-of-month publisher payouts, launching a new buyer in Phonely Link, or tuning a PPC agent that isn't converting the way it should. It's not a fixed lane, and it's not a traditional RevOps role.
- You'll report directly to the Chief of Staff and have real visibility into how the business actually works. This is a role for someone hungry and looking to grow fast, who wants a front-row seat to the decisions that move the company. You'll get real ownership and real exposure to impactful, cross-functional work from day one, ideally paired with a foundation in structured problem-solving and a real appetite for startup speed and ambiguity. This role is in office 5 days a week in San Francisco.
- What You'll Do
- Revenue & Business Operations (roughly half your time)
Own HubSpot end-to-end: pipeline stages, deal properties, lead routing, and workflow automation
Build and maintain reporting and dashboards for pipeline, forecasting, and funnel conversion
Support the forecasting cadence, pipeline reviews, and revenue/metric reporting leadership relies on
Run ad hoc analyses (win/loss trends, funnel bottlenecks, campaign ROI) that shape leadership decisions
Document processes as the team scales and propose improvements: lead qualification, handoffs, deal desk basics
Partner across Sales, Marketing, Finance, and Engineering to keep systems and processes aligned as we grow
Take on undefined, high-priority work as it lands, and help drive cross-functional initiatives that don't have an obvious owner yet
Pick up anything else the business needs, whether or not it fits neatly into a job description
Pay Per Call Operations (the other half)
Own end-of-month billing for publishers and buyers: run reconciliations, send invoices, and make sure we get paid and pay out on time and accurately
Onboard new buyers and publishers into Phonely Link, including building out campaigns, setting up reporting, and creating publisher API keys
Work with engineering on the system and product changes needed to launch new buyers and partners
Monitor launches from both the buyer and publisher side, and flag issues before they cost us revenue
Suggest and make changes to campaigns based on how they're actually performing
Run compliance checks and keep required partner details accurate in our CRM systems
Be the go-to person for building new voice AI agents for Pay Per Call
Monitor live calls to confirm agents are performing as expected, and tune them when they aren't
What You'll Bring
2+ years in revenue operations, business operations, strategy, consulting, or a similarly analytical seat
HubSpot experience (required), with a track record of actually building in it, not just reporting out of it
Strong spreadsheet and analytical skills, and comfort owning numbers that other people make decisions on
Comfort with billing, reconciliation, and invoicing detail, and the instinct to catch a number that looks wrong
Ability to juggle recurring operational cadences and open-ended projects in the same week without dropping either
Clear written communication, especially with external partners
High ownership and low ego, and the willingness to learn a new system quickly because nobody else owns it yet
Nice to Have
Experience with pay per call, lead generation, affiliate, or performance marketing marketplaces (not required; we'll teach you)
Familiarity with compliance in a regulated lead gen environment (TCPA and similar)
Hands-on experience building or tuning voice AI, chatbots, or conversational agents
Comfort with APIs, webhooks, and light automation work
