Job Description:

Position Summary

The Order Coordinator (OC) is responsible for coordinating the prioritization and scheduling of diagnostic, procedural, and therapeutic services across the healthcare system. Operating within the centralized Hub, this role ensures efficient patient flow, timely service delivery, and reduced discharge delays by collaborating with Clinical Care Coordinators (C3s), nursing staff, and service departments.

Key Responsibilities:

Centrally prioritizes inpatient service demand, collaborating with Unit C3s as needed, for OC Managed Service Areas; ensures patients are scheduled based on organizational demand.

Balances the patient’s Itinerary and clinical requirements with Service Area orders and availability of resources for OC Managed Service Areas. Supports Self-Managed Area with scheduling conflicts as needed.

Proactively monitors and manages daily work queues for OC Managed Service Areas; adjusts service request priorities as needed and escalates issues as appropriate.

Assists with managing transport requirements for OC Managed Service Areas. Supports Self-Managed Areas with transport as needed.

Collaborates with nursing to ensure clarity and accountability for diagnostic service preparation. Assists with patient preparedness by communicating and monitoring pre-procedure requirements or preparation for OC Managed Service Areas.

Manages itineraries for patients with multiple services across all service areas (OC Managed and Self-Managed) to create optimal patient itineraries.

Assists service areas in keeping their schedules accurate throughout the day as needed (OC Managed and Self-Managed), capturing delay reasons when rescheduling or removing services from schedule.

Collaborate daily with Unit Leadership, Nursing, Service Area Department Resources and Central Scheduling in addressing service event barriers to patient progression. Places pending orders on hold based on ongoing barriers to patient progression and communicates the holds appropriately.

Review validity of orders in daily queue for OC Managed Service Areas. Identifies duplicates, incorrect, or orders that have potential to be scheduled outpatient and escalates accordingly. Works with other care coordination model resources to coordinate timely and safe outpatient services as appropriate.

Experience

Two or more years of patient scheduling experience required; multiple service area experience preferred.

Strong preference given to experienced radiology or cardiology technologist/technician or candidate with strong clinical judgment skills and differential knowledge of diagnostic, procedural and therapeutic areas within the acute care setting.

Education

High School graduation or GED required with 2 or more years of healthcare related experience.

Must pass orientation and initial competency assessment prior to independent assignment, and must complete and pass all annual competencies.

Special Training/ Skills

Excellent interpersonal skills to effectively communicate with all clinical and service departments.

Able to effectively communicate and understand medical terminology accurately

Proficiency with computer systems required for Hub and service areas.

Ability to determine appropriate sequencing of multiple tests in various service areas.

Ability to manage and prioritize multiple activities while working in a fast-paced environment.

Must utilize critical thinking and creative problem-solving skills to address complex situations.

Variable start times between 0700 - 0900, Rotating weekends

Pay Range (based on years of applicable experience):

$33.82 to

$45.26

The hours employees work determine when a shift differential is paid.

Hourly Evening Shift Differential: $2.44

Hourly Night Shift Differential: $3.65
