 Administration & Office Operations

  • Manage daily front desk operations, including mail handling, call management, visitor registration, courier arrangements, and reservations.
  • Perform local administrative errands, including visits to banks, accountants, and government authorities, as required.
  • Process invoices, bills, and monthly claims, ensuring timely submission to Finance and/or external accounting partners.
  • Maintain accurate records of company assets, departmental trackers, budgets, and petty cash usage.
  • Manage service contracts and tenancy agreements, including new agreements, renewals, and terminations.
  • Liaise with government authorities for office-related licenses, permits, renewals, and documentation.
  • Support property insurance administration, including annual reviews, claims, and related documentation.
  • Communicate office updates and announcements to the local team as needed.

Facilities & Vendor Management

  • Ensure meeting rooms and office facilities are clean, organized, and well-maintained.
  • Coordinate with vendors, building management, IT, and internal teams to resolve facility, equipment, and service issues promptly.
  • Manage office supplies, stationery, business cards, refreshments, and pantry/cleaning inventory to ensure adequate stock levels.
  • Work with cleaning vendors to maintain a clean, tidy, and professional office environment.

Employee & Department Support

  • Coordinate employee onboarding and offboarding support, including laptop preparation/collection and welcome kits.
  • Support local procurement for awards, gifts, events, and office requirements.
  • Assist with internal office events, celebrations, HR activities, and employee engagement initiatives.
  • Provide administrative support to regional leadership and other departments as required.

*This role is 8 months fixed-contract position
