This role will begin as a contingent position with the potential to transition to a permanent position.

The People Operations Administrator is responsible for supporting the People Operations through the administration of employee lifecycle processes, confidential records, employment compliance activities, and HR reporting. This position coordinates employee transactions and information requests, provides responsive support to employees and managers, and collaborates with internal departments and external partners to ensure accurate and timely administration of assigned responsibilities. The role requires attention to detail, sound judgment, discretion, and the ability to manage competing priorities.

This role is based full-time in our office in San Diego, CA. Specific location details and expectations will be discussed during the interview process.

Position Responsibilities and Duties:

  • HR Records and Data Management: Maintain accurate, complete, and confidential employee records in designated HR systems. Ensure documentation is appropriately maintained and accessible to authorized personnel in accordance with established retention and access requirements.
  • Employee Lifecycle Administration: Coordinate approved employment actions, including onboarding, promotions, and terminations. Partner with HR, managers, Payroll, IT, and other departments to ensure accurate documentation, timely processing, and completion of related administrative requirements.
  • Employment Compliance Administration: Administer assigned processes related to background checks, drug and alcohol screening, employment eligibility verification, and required new hire reporting. Monitor completion and deadlines, maintain supporting documentation, and escalate discrepancies or matters requiring interpretation to designated HR personnel.
  • Employee Payment Coordination: Coordinate the administration of approved relocation payments, referral bonuses, and other one-time payments. Verify required documentation and approvals and collaborate with Payroll to support accurate and timely processing.
  • Agency and Records Request Coordination: Coordinate responses to unemployment claims, employment verifications, audits, and other employment-related information requests. Gather and verify relevant records, monitor response deadlines, and obtain appropriate review before releasing information.
  • Legal and Employment Sponsorship Support: Provide administrative support for litigation, subpoenas, and employment sponsorship matters under the direction of HR leadership and Legal or designated counsel. Coordinate documentation, maintain confidential records, and track required actions and deadlines.
  • HR Reporting: Prepare and validate recurring and ad hoc HR reports to support business needs, compliance obligations, and contractual reporting requirements, including demographic and tax abatement reporting. Identify and resolve data discrepancies in collaboration with appropriate stakeholders.
  • Employee and Business Support: Serve as a point of contact for HR inquiries and correspondence. Provide timely, professional assistance, explain established processes, and coordinate resolution or referral to the appropriate resource.
  • Process Improvement and Team Collaboration: Contribute to consistent and efficient HR administration through process improvements, documentation of procedures, cross-training, and collaboration across departments. Stay informed of changes affecting assigned responsibilities and incorporate updates under HR guidance.
  • Perform other duties as assigned.

Minimum Skills or Experience Requirements:

  • High school diploma or equivalent required; a bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • Five years of experience in an HR support or administrative role.
  • Experience supporting employee lifecycle processes, confidential records, compliance administration, and HR reporting preferred.
  • Experience using HR information systems; Workday experience preferred.
  • HR certification, such as aPHR or SHRM-CP, beneficial but not required.Familiarity with the full employee lifecycle and HR administrative processes.
  • HR Administration: Working knowledge of employee lifecycle processes, personnel records management, and coordination among HR, Payroll, and other business functions.
  • Employment Compliance: Familiarity with administrative requirements related to employment eligibility verification, screening programs, new hire reporting, unemployment claims, and confidential records handling.
  • Confidentiality and Judgment: Ability to handle sensitive information with discretion, follow established authorization requirements, and recognize when matters require HR leadership or Legal review.
  • Accuracy and Data Integrity: Ability to review employee records, transactions, payment documentation, and reports for accuracy and completeness, identify discrepancies, and coordinate corrections.
  • Organization and Follow-Through: Ability to manage multiple priorities, monitor deadlines, maintain organized records, and follow assignments through completion in a fast-paced environment.
  • Communication: Strong verbal and written communication skills, including the ability to explain established processes clearly and prepare accurate, professional correspondence. Bilingual proficiency in English and Spanish is a plus.
  • Customer Service: Ability to respond professionally and promptly to inquiries, understand the request, and coordinate appropriate assistance.
  • Reporting and Technology: Proficiency in Microsoft Office applications, including Excel, Word, and Outlook, and the ability to use SharePoint, HR information systems, and vendor platforms to maintain records and prepare reports.
  • Collaboration and Independence: Ability to work independently within established procedures and collaborate effectively with employees, managers, internal departments, and external partners.
  • Problem-Solving and Adaptability: Ability to research administrative discrepancies, recommend practical improvements, and adapt to changes in priorities, systems, and procedures.

$26.44 - $33.04
