Position Summary

The Procurement Coordinator is a newly created role that guides Hope Media Group's budget managers through the procurement process across every category of organizational spend, including capital equipment, software and SaaS subscriptions, vendor service contracts, and general operating purchases. Budget managers own the vendor relationship, vendor selection, and negotiation; the Procurement Coordinator is the process expert who keeps each request moving, ensures it follows Hope Media Group's established procurement policy and approval matrix, advises on contract terms and pricing benchmarks, and keeps documentation complete and audit-ready.

Key Responsibilities:

  • Guide budget managers through the procurement process end to end, from purchase request through purchase order issuance, so each request follows the approval matrix and required thresholds.
  • Advise budget managers on contract terms, pricing benchmarks, and negotiation leverage points; budget managers retain ownership of vendor selection and negotiation.
  • Serve as the go-to resource for procurement policy questions: when competitive bids are required, what approval level a purchase needs, and how to structure a contract request.
  • Review purchase requisitions for proper approval, account coding, and budget availability before purchase order issuance.
  • Maintain a centralized vendor and contract repository, tracking key terms, effective dates, and renewal or auto-renewal risk, and proactively flag upcoming renewals to the responsible budget manager.
  • Flag purchases made outside the approved procurement process to the Controller and coordinate a path back into compliance.
  • Coordinate with Accounts Payable to confirm invoices match approved purchase orders and contract terms, and research and resolve discrepancies.
  • Support annual budgeting and capital expenditure planning with vendor pricing data and market benchmarks pulled from the contract repository.
  • Track and report procurement metrics, including cycle time, policy exceptions, and contract renewal risk, to the Controller and SVP of Finance.
  • Maintain procurement documentation in Sage Intacct, FinQuery and Ramp, ensuring contracts, purchase orders, and approvals are complete and audit-ready.

Requirements and Qualifications:

Education:

Bachelor's degree in Data Analytics, Business Administration, Information Systems, Statistics, Public Administration, Organizational Leadership, Social Sciences, Nonprofit Management, a related field, or at least 10 years experience.

Qualifications:

  • Bachelor's degree in business, supply chain, finance, or a related field, or equivalent work experience.
  • Two or more years of procurement, purchasing, or contract administration experience; nonprofit or broadcast and media industry experience is a plus.
  • Working knowledge of procurement best practices and contract terms, sufficient to advise others on pricing and negotiation leverage without owning the negotiation.
  • Experience with ERP or procurement systems, such as Sage Intacct or Ramp, strongly preferred.
  • Strong process orientation and attention to detail, with the ability to enforce policy consistently and diplomatically across departments that do not report to this role.
  • Excellent written and verbal communication and coaching skills; comfortable guiding budget managers who outrank this position and pushing back on noncompliant requests.
  • Support for and alignment with Hope Media Group's Christian mission and values.

What Success Looks Like in the First Year:

  • A documented, centralized vendor and contract repository covering all active agreements.
  • Measurable reduction in purchases made outside the approved procurement process.
  • Shorter average cycle time from purchase request to purchase order issuance.
  • Clean, audit-ready procurement documentation across Sage Intacct, FinQuery and Ramp.

  • As needed for conferences, seminars, organizational meetings, ministry events, vendor meetings, and site visits.
