Work for the IMF. Work for the World.

The Fund seeks a highly organized and experienced Projects Analyst to administer the work programs of the IMF Family Association (IMFFA) and the IMF Retirees & Alumni Association (IMFRA), as well as support the Fund’s Human Resources Department (HRD).

The IMFFA provides a welcoming and supportive community for families of staff members; it offers spouses and families of Fund employees a variety of social programs, services, and events. The IMFRA helps current and future Fund retirees and alumni navigate retirement-related topics, represents their interests, fosters cooperation between the Association and the Fund, and helps retirees and alumni stay in touch with each by organizing social, educational, and other activities.

The incumbent formally reports to HRD’s Organizational Change Management Unit and performs support work for both associations on behalf of the IMF. The IMF retains overall responsibility for the employment relationship, including hiring, promotion and termination decisions.

Under Fund oversight, on a day-to-day operational basis, the role will support the Boards of Directors of IMFFA and IMFRA. Currently, both associations are working on a hybrid basis, with some days of in-office work at IMF Headquarters and others remotely. The position’s workload typically requires 40 hours a week, allocated equally between the two organizations. Occasionally, events may require additional hours or work on evenings and weekends.

During periods of reduced IMFFA and IMFRA activity, the incumbent may also support the work of HRD’s Organizational Change Management Division, which includes employee engagement, health & wellness, support for diversity and inclusion, and internal communications initiatives.

Duties and Responsibilities

Under Fund oversight, in close contact with the IMFFA and IMFRA Boards, the successful candidate will:

  • Serve as the designated Fund employee liaison for IMFFA and IMFRA activities requiring access to Fund systems, records, communications platforms, or administrative processes, ensuring that such functions are carried out by a Fund employee in accordance with Fund policies and access controls.
  • Serve as the primary point of contact for both associations, and provide excellent customer service, including responding to inquiries and information requests.

Build strong relationships with key IMF departments and, as appropriate, forward communications to IMFFA/IMFRA Board members or relevant Fund offices, providing timely follow-up and coordinating responses to requests.

Where appropriate, plan, support and deliver work programs and activities.

Organize and coordinate meetings and videoconferences.

Support tracking and follow-up of Board decisions, actions and timelines.

Create and maintain administrative, financial, governance and programmatic files/folders.

Support onboarding process for new Board members, including onboarding materials and relevant administrative arrangements.

Provide support for meetings, seminars, workshops, excursions and social events. Support Board Chairs when needed.

Manage planning and delivery of events with the provision of detailed administrative and logistical support.

Receive, process, submit reimbursement claims and follow up until payment is processed.

Manage budgets.

Timely processing, registration and admission of members and maintenance of membership records.

Proactively ensure IMFFA/IMFRA Board members are updated on Fund initiatives of relevance to staff families or retirees and alumni, respectively.

Maintain IMFFA and IMFRA websites and social media channels; organize and deliver email and social media communications to members.

Where appropriate, plan, support and deliver IMFFA and IMFRA publications, including proofreading, editing, design and dissemination of materials to target audiences.

Coordinate procurement related and administrative arrangements with vendors, instructors, speakers and other service providers, including required documentation and follow-up with relevant IMFFA/IMFRA and Fund offices.

Support HRD Change Management Division through effective project coordination, stakeholder engagement, visual communications, and administrative support.

Preferred Skills and Experience

The position requires a highly proactive self-starter able to manage a diverse workload and support day-to-day operations of the two associations effectively. The selected candidate should demonstrate:

  • Experience in supporting project management activities and project delivery
  • Strong interpersonal skills, including tact, patience, and discretion in dealing with a broad range of people from diverse nationalities, age groups and circumstances.
  • Experience in scheduling and organizing in-person and virtual meetings and conferences.

Strong IT skills and knowledge of Microsoft Office (Word, Excel, PowerPoint, Access, Outlook, Teams), Adobe PDF and virtual meeting software (Zoom, Webex).

Familiarity with e-mail applications (such as Mailchimp), social media platforms (LinkedIn, Facebook, Twitter), JotForm, Canva, and willingness to learn new skills and embrace new platforms where required.

Administrative experience, including office management.

Strong organizational skills and a track record of managing multiple and competing priorities successfully and professionally, and with minimal levels of supervision.

Excellent verbal and written communication skills in English. Proficiency in other languages is highly advantageous.

Minimum Qualifications

A combination of training and experience equivalent to completion of a secondary school education, supplemented by a minimum of four years of relevant experience, is required.

This is a one-year contractual appointment. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent's performance, budget availability, and continuous business need.
