Under the direction of the Supervisor Administrative - Slots, the Senior Administrative Assistant serves as a key administrative and operational resource for Slot Operations leadership. This position performs advanced administrative functions requiring independent judgment, discretion, initiative, and a comprehensive understanding of departmental operations, regulatory requirements, and business objectives. Responsible for coordinating critical administrative processes, supporting leadership initiatives, managing department records and compliance documentation, overseeing payroll administration, and facilitating communication across departments. This role exercises a high degree of confidentiality, accuracy, and accountability while providing operational support that contributes to the overall effectiveness and efficiency of the Slot Operations department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Provides advanced administrative support to department leadership by independently coordinating administrative functions critical to daily operations. Maintains highly confidential records and sensitive information in accordance with company policies. Prepares correspondence, reports, presentations, and departmental communications. Serves as a primary point of contact for internal and external stakeholders, ensuring timely communication and follow-through on departmental initiatives. Coordinates meetings, schedules, and special projects while monitoring progress and deadlines.
2. Administers and audits departmental payroll processes to ensure accuracy, compliance, and timely submission. Reviews daily labor transactions, coding, attendance records, leave activity, and payroll variances. Maintains payroll-related databases and compliance tracking systems, including leave of absence records and workforce reporting. Analyzes payroll data, identifies discrepancies, researches issues, and partners with leadership to ensure corrective action is taken. Generates and distributes recurring and ad hoc reports to support labor management and operational decision-making.
3. Oversees the maintenance and organization of slot machine asset records and regulatory documentation to ensure compliance with Tribal, State, and Gaming regulatory requirements. Manages electronic filing systems and documentation related to gaming assets, including machine installations, movements, conversions, and removals. Coordinates preparation for internal and external audits by ensuring documentation is complete, accurate, and readily accessible. Serves as a departmental resource regarding record retention and compliance standards.
4. Performs ongoing audits and reconciliation of slot asset records to ensure inventory accuracy and data integrity. Investigates discrepancies, prepares findings, and provides recommendations to management. Collaborates with cross-functional teams to improve inventory controls, documentation processes, and operational workflows. Identifies opportunities to enhance efficiency and supports implementation of process improvements within the department.
5. Coordinates procurement and inventory of departmental office supplies and operational resources. Initiates, tracks, and follows up on service requests, maintenance work orders, and vendor-related activities to support office needs.
6. Performs other duties as assigned to support the efficient operation of the department.
EDUCATION, EXPERIENCE AND QUALIFICATIONS
High School Diploma or GED required.
Associate’s degree or equivalent in computer software and/or business administration classes preferred.
Minimum five (5) years of related administrative experience is required. Casino experience is preferred.
KNOWLEDGE, SKILLS AND ABILITIES (KSA)
Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, with the ability to create complex reports, presentations, spreadsheets, and business correspondence.
Demonstrated ability to utilize internet-based resources, databases, and enterprise systems to conduct research, gather information, and support departmental projects and operational initiatives.
Strong critical thinking, problem-solving, and decision-making skills with the ability to analyze information, identify issues, and recommend effective solutions with minimal supervision.
Highly self-motivated and resourceful with the ability to work independently, exercise sound judgment, manage competing priorities, and consistently meet deadlines in a fast-paced environment.
Exceptional interpersonal, verbal, and written communication skills, with the ability to effectively interact with all levels of the organization, external partners, and regulatory agencies while maintaining a polished and professional demeanor.
Advanced organizational and time management skills, including the ability to manage multiple projects simultaneously, prioritize competing demands, and adapt quickly to changing business needs.
Demonstrated ability to handle highly sensitive and confidential information with the highest degree of discretion, professionalism, and integrity.
Knowledge of administrative practices, records management, document control procedures, and business office operations.
Ability to interpret, apply, and maintain compliance with departmental policies, procedures, and applicable regulatory requirements.
Strong attention to detail and commitment to accuracy, particularly when managing payroll records, compliance documentation, asset tracking, and audit-related materials.
Proven ability to coordinate cross-functional activities, build collaborative working relationships, and serve as a liaison between departments to support operational objectives.
Ability to identify process improvement opportunities and implement administrative efficiencies that enhance departmental effectiveness and productivity.
Experience maintaining confidential information, including personnel records, customer information, financial data, payroll records, and other sensitive organizational information in accordance with company policies and applicable regulations.
Ability to exercise a high level of professionalism, tact, diplomacy, and independent judgment when handling sensitive situations, confidential matters, and interactions with leadership.
LICENSES, CERTIFICATIONS AND REGISTRATIONS
At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.
No Driving Responsibilities: Role does not require a driver’s license or insurance.

Work requires travel to attend meetings, trade shows, and conferences.
