Key Responsibilities
- Manage day-to-day office administration and facility operations .
- Handle end-to-end vendor management , including vendor identification, quotations, negotiations and coordination.
- Track vendor invoices, bills and payments and ensure timely closure.
- Manage procurement of stationery, pantry supplies, housekeeping materials and other office requirements.
- Coordinate office maintenance activities including electrical, AC, carpentry and general repair works.
- Supervise housekeeping, security, pantry and other facility services .
- Manage and monitor utility bills such as electricity, telephone, internet and mobile services.
- Handle petty cash, expenses and supporting documentation .
- Coordinate employee transportation, travel bookings, hotel bookings and other logistics requirements.
- Maintain office assets, inventory and records and coordinate asset movement whenever required.
- Ensure timely resolution of employee and facility-related administrative requests.
- Coordinate office events, celebrations, meetings and employee engagement activities.
- Maintain administrative reports, MIS and relevant documentation for management.
- Coordinate with internal stakeholders and external vendors to ensure smooth day-to-day operations.
- Ensure compliance with internal administrative policies and processes.
Required Skills
- Strong experience in Administration, Facility Management and Vendor Management .
- Good understanding of procurement and vendor negotiation.
- Experience in invoice, bill and payment tracking.
- Hands-on experience in office maintenance and facility operations.
- Experience in petty cash, inventory and expense management.
- Good knowledge of MS Office.
- Strong communication, coordination and stakeholder-management skills.
- Ability to independently manage multiple administrative activities.
- Good problem-solving and organizational skills.
Education
Graduate degree in any discipline.
