Description

The Site Supervisor leads the day-to-day operation of an assigned school age childcare site and supervises the YMCA’s Childwatch program. This full-time position combines before- and after-school childcare hours with daytime Childwatch hours to create a consistent, year-round schedule.

The Site Supervisor delivers engaging, high-quality curriculum, leads and supports frontline staff, and ensures children in both programs are safe, supervised, and cared for in accordance with YMCA standards, risk management policies, and state licensing regulations.

Role and Responsibilities

  • Oversee the daily operations of assigned School Age Child Care and Childwatch programs, ensuring safe, organized, welcoming, and engaging environments for children and families.
  • Manage daily site operations, including opening and closing, arrival and dismissal, sign-in and sign-out, snack, transitions, and maintaining appropriate staffing coverage.
  • Deliver the YMCA’s school age curriculum as written while preparing weekly lesson plans, materials, and activity spaces in advance.
  • Lead and participate in age-appropriate activities including homework support, literacy, STEM, arts, physical activity, healthy living, character development, stories, songs, crafts, and active play.
  • Maintain structured daily schedules that balance active and quiet time, choice-based activities, small-group experiences, and free play.
  • Use positive behavior guidance strategies to address behavior concerns consistently, respectfully, and in partnership with families and the Assistant Program Director when appropriate.
  • Always supervise children actively, maintaining required staff-to-child ratios, completing headcounts during transitions, and communicating with the front desk when capacity is reached.
  • Maintain clean, organized, and welcoming program spaces; complete daily set-up and breakdown, safety checks, and cleaning and sanitizing procedures.
  • Follow all required procedures for handwashing, diapering, toy and equipment sanitation, and maintaining a healthy environment for children.
  • Build positive working relationships with school principals, custodial staff, school-day personnel, YMCA staff, and other community partners.
  • Participate in program quality observations and implement feedback and improvement strategies at the site.
  • Maintain accurate and current program records, including attendance, authorized pick-up lists, emergency contacts, health and allergy information, medication logs, and incident and accident reports.
  • Ensure all programs comply with New Jersey childcare licensing requirements, YMCA policies, risk management standards, child protection procedures, and other applicable regulations.
  • Conduct emergency drills, complete required safety inspections, identify and report hazards promptly, and respond appropriately to emergencies and incidents.
  • Report suspected child abuse or neglect in accordance with applicable law and YMCA policies.
  • Lead, schedule, train, onboard, and support Group Leaders, Childwatch Attendants, and other program staff to ensure adequate coverage and consistent program quality.
  • Build staff schedules that maintain required ratios, address callouts and staffing changes, and support effective daily operations.
  • Assign staff responsibilities, model expectations, provide in-the-moment coaching and feedback, and communicate staff performance observations to the Assistant Program Director.
  • Conduct brief team huddles to review daily plans, children’s needs, staffing assignments, and safety considerations.
  • Serve as a primary daily point of contact for families, providing a warm and welcoming experience and responding to questions, concerns, and requests promptly and professionally.
  • Communicate behavior, injury, health, or other significant concerns to families in a timely manner and complete required documentation the same day.
  • Provide families with appropriate updates about their child’s participation and experience in the program.
  • Support enrollment and retention by creating a positive, inclusive, and engaging experience for every child and family.
  • Maintain program supplies, toys, equipment, and materials in good condition; monitor inventory and communicate replacement or repair needs.
  • Collaborate with the Assistant Program Director and other YMCA staff to address operational needs, strengthen program quality, and support the overall success of the program.
  • Perform other duties as assigned to support the safety, quality, and success of YMCA childcare programs.
