Our people at JLL are shaping the future of real estate for a better world by combining world class services, advisory and technology for our clients. We are committed to hiring the best, most talented people and empowering them to thrive, grow meaningful careers and to find a place where they belong. Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.
What this job involves - We are seeking a highly proactive and tech-forward Space Data and Insights Engagement Manager to support a high-profile, fast-paced, and extremely agile technology client in the San Francisco Bay Area.
This is not a traditional CAD technician, analyst, or order-taker role. We are looking for an experienced workplace and space data professional who can act as a strategic bridge between workplace operations, vendor management, process improvement, and emerging technology.
In this role, you will lead floor-plan governance and manage our partner-vendor relationship with the client's IWMS/CAFM platform. You will ensure the absolute integrity of space data while proactively helping to shape future workplace data strategies, utilizing automation, APIs, and emerging AI technologies where possible.
What is your day-to-day?
Floor-Plan Governance & Quality Assurance
- Publishing Oversight: Act as JLL’s quality-control layer over the client's floor-plan publications. Review and approve each plan, performing pre-publication checks and post-launch validations.
- Vendor & Update Coordination: Manage drawing validation, intake, and version control. Issue clear revision instructions back to third party vendor (publisher of drawings).
- Process Playbooks: Own, maintain, and continuously improve the CAFM/floor-plan playbook, defining clear guidelines for ownership, approvals, publications, rollbacks, and escalation paths.
Database Administration & Workspace Compliance
- Data Maintenance: Maintain accurate, up-to-date floor, desk, room, and neighborhood data. Reflect immediate portfolio changes by modifying space and organizational data.
- Space Standards: Apply space-categorization principles (e.g., BOMA, OSCRE) to interpret floor plans and ensure data categorization aligns with the client’s spatial standards.
- Audit Management: Establish, schedule, and perform routine space and data quality audits to proactively resolve data integrity discrepancies.
Workstream Coordination & Relationship Building
- Stakeholder Bridge: Collaborate closely with the client's Occupancy Planning (OP) team to track requests, manage project handoffs, and report outcomes, risks, and deadlines.
- Vendor Management: Maintain a strong working partnership with IWMS vendor and design teams to guarantee timely data corrections.
- Collaboration: Foster trust and critical relationships with cross-functional internal and external partners, including Facilities, Project Management, and Design & Construction.
Workplace Technology & Process Innovation
- Proactively explore and implement automation, API integrations, and emerging AI tools to drive database efficiency, reduce manual entry, and speed up drawing turnaround times.
- Analyze existing space data processes to identify and implement opportunities for structural and operational improvements.
Qualifications
- Ability to work a hybrid schedule (2 days onsite in Mission Bay - San Francisco, California or Costa Mesa, California)
- Education: Bachelor’s degree in Architecture, Interior Design, Facilities Management, Real Estate, Business, or a related discipline.
- Experience: 5+ years of professional experience managing CAFM/IWMS database systems (OfficeSpace preferred, or FM:Systems, TRIRIGA, Manhattan Centerstone, Archibus, Serraview, etc.).
- Technical Literacy: Literacy in reading and interpreting floor plans, construction documents, and CAD standards. Strong familiarity with office space measurement and categorization standards (BOMA, OSCRE).
- Emerging Tech Mindset: High level of comfort and curiosity regarding emerging AI, automation, spatial data APIs, and next-generation space management tech.
- Proactive Communication: Exceptional written, verbal, and consultative communication skills. Ability to manage expectation levels with diverse, high-performing tech stakeholders.
- Agility: Comfort working independently in an extremely fast-paced, rapidly shifting environment with limited direction.
