About the Role

Venbrook is seeking a Subrogation Specialist to identify, protect, and pursue subrogation and recovery rights for our clients. This role supports the Carl Warren & Company (CWC) Subrogation program and independently manages a caseload of approximately 200 files across auto subrogation (insured and uninsured), public entity, and fixed property matters. The Specialist applies knowledge of laws, statutes, and tort remedies to recover property damage funds from responsible third parties, handling each file from referral through resolution.

The role is hands-on and detail-driven. The Specialist will work closely with claims professionals, clients, carriers, and recovery partners to find recovery opportunities early, document files thoroughly, and maximize net recoveries.

The right candidate brings 3 to 5 years of subrogation recovery experience, strong analytical and negotiation skills, and a sound understanding of the legal principles behind recovery work. A Paralegal Certificate is required, and legal experience, such as work as a paralegal, litigation support professional, or attorney, is highly preferred.

What You'll Do

Recovery file management

  • Independently manage a caseload of approximately 200 auto (insured and uninsured), public entity, and fixed property files from referral through final resolution, meeting service standards and cycle-time goals.
  • Determine on a case-by-case basis where subrogation and recovery possibilities exist.
  • Apply rules, statutes, and tort remedies to fact situations to identify the basis for a demand for reimbursement from third-party payers.
  • Investigate losses to accurately identify claimants and other legally responsible entities, gathering police reports, accident and incident reports, photos, witness statements, expert findings, and contracts.
  • Review and evaluate documents relating to funds paid out by clients, and analyze liability, damages, and comparative fault to set the best recovery strategy.
  • Prepare and send demand packages and notices of subrogation interest to other parties, insurance carriers, and attorneys in a timely and accurate way.

Negotiation, arbitration, and litigation support

  • Negotiate recoveries with adverse carriers, self-insured parties, and individuals within assigned settlement authority.
  • Prepare, file, and present cases through inter-company arbitration forums, such as Arbitration Forums, Inc.
  • Refer files to outside counsel when litigation is warranted, and support counsel with case summaries, documents, and strategy input.
  • Track statutes of limitation, filing deadlines, and arbitration timelines to protect recovery rights.
  • Set up and monitor payment plans, and refer uncollectible balances to collection partners when appropriate.

Legal and regulatory compliance

  • Maintain familiarity with legal filing statutes within each casefile jurisdiction to protect clients' legal rights and remedies.
  • Apply subrogation law, lien rights, anti-subrogation rules, made-whole doctrines, and contractual waiver provisions to each file.
  • Review contracts, leases, and indemnity agreements to identify recovery rights and risk-transfer opportunities.
  • Follow multi-state regulatory requirements and client contract terms in all recovery activity.

Client service

  • Educate clients about their recovery rights and keep them informed of file status and outcomes.
  • Make settlement recommendations to clients, subject to the client's final approval.
  • Respond to internal and external client requests promptly and deliver consistently high-quality service.

Documentation and reporting

  • Prepare and maintain accurate case files, correspondence, legal documents, and diary notes with clear action plans.
  • Participate in and coordinate accounting actions for recovery payments received.
  • Enter recovery data accurately in the claims system to support reporting, dashboards, and client stewardship.
  • Help prepare recovery results and file summaries for client reviews and internal reporting.

Collaboration

  • Partner with claims adjusters and supervisors to spot recovery opportunities early and improve referrals.
  • Communicate professionally with clients, carriers, attorneys, and claimants about file status and outcomes.
  • Share knowledge with teammates and contribute ideas that improve workflows, tools, and recovery results.

What You Bring

Required

  • Paralegal Certificate from a state-credentialed paralegal program.
  • 3 to 5 years of technical experience processing and recovering subrogation claims.
  • Carl Warren & Company Subrogation experience.
  • Knowledge of the laws, rules, and statutes of the subrogation and recovery process, along with principles of insurance and core subrogation concepts.
  • Ability to read and interpret contracts, insurance policies, and legal documents.
  • Strong written and verbal English, with excellent keyboard skills and few errors.
  • Moderate to high proficiency in Microsoft Word and Excel, plus basic math skills.
  • Strong reasoning, problem-solving, negotiation, and analytical ability.
  • Self-directed and self-motivated, able to work independently in a fast-paced remote environment.
  • Strong telephone and customer relationship skills.

Preferred

  • Legal experience is highly preferred , such as work as a paralegal, litigation support professional, law clerk, or attorney, particularly in insurance defense, subrogation, personal injury, or collections.
  • Associate's or Bachelor's degree in Business, Legal Studies, or a related field.
  • Insurance designation (such as AIC, AIM, CPCU, or CSRP) or insurance-related coursework.
  • Insurance claims and recovery experience, ideally in a TPA, carrier, or third-party claims management environment.
  • Experience with arbitration forums, such as Arbitration Forums, Inc., including preparing and presenting contentions.
  • Experience with claims systems or other database programs, and comfort adopting analytics and AI-enabled tools.

  • Legal and regulatory knowledge: Knows the filing statutes in each casefile jurisdiction and applies laws, rules, and statutes to fact situations to support recovery demands.
