About the Role

The Talent Acquisition Operations Specialist independently manages core operational workflows across the hiring lifecycle, including interview operations, recruiting systems and requisition administration, hiring process coordination, and Talent Acquisition process documentation.

This role partners closely with recruiters, hiring managers, Executive Assistants, interview teams, People Operations, and other cross-functional partners to keep hiring processes moving efficiently and ensure candidates and hiring teams have a consistent, high-quality experience.

In addition to executing day-to-day recruiting operations, this role identifies workflow issues, helps determine root causes, and develops practical solutions and documentation that improve the effectiveness and consistency of Talent Acquisition processes.

You Will

Interview Operations & Candidate Experience

  • Independently manage interview scheduling and coordination across multiple teams, stakeholders, time zones, and interview formats.
  • Partner closely with recruiters, hiring managers, Executive Assistants, and interview teams to coordinate complex interview schedules and resolve scheduling conflicts.
  • Serve as a primary operational point of contact for candidates throughout the interview process, providing timely communication, clear expectations, and a high-quality candidate experience.
  • Coordinate onsite interview logistics and host candidates as needed.
  • Independently prioritize scheduling needs and timelines across multiple concurrent searches.
  • Proactively identify and resolve scheduling, communication, and logistical issues that could impact candidates or hiring teams.

Interview Planning & Recruiting Operations

  • Partner with recruiters to build and maintain interview plans, including interview stages, panel composition, scheduling requirements, and candidate communications.
  • Ensure interview plans and workflows are accurately configured and maintained within recruiting systems.
  • Coordinate changes to interview plans and processes as hiring needs evolve.
  • Provide guidance to recruiters, interviewers, and hiring teams on established interview processes, scheduling practices, and Talent Acquisition workflows.
  • Identify recurring issues within interview processes and partner with recruiters to implement practical improvements.

Recruiting Systems, Requisitions & Headcount Operations

  • Manage the operational process for opening approved positions and ensure requisitions are accurately created and maintained across the company's HRIS and applicant tracking systems.
  • Partner with recruiters and internal stakeholders to verify that headcount, requisition, and hiring information is complete and accurate before recruiting activity begins.
  • Maintain accurate recruiting and requisition data to support Talent Acquisition operations and headcount reporting.
  • Track requisition setup and proactively identify missing information, inconsistencies, or system issues that could delay recruiting activity.
  • Troubleshoot routine recruiting system and workflow issues, determine appropriate solutions within established processes, and escalate more complex issues when needed.
  • Support ongoing data integrity by identifying discrepancies and coordinating corrections with the appropriate partners.

Hiring Operations & People Operations Handoff

  • Manage operational workflows required to move candidates from accepted offer through the transition to People Operations.
  • Ensure required candidate, position, and hiring information is complete and accurately reflected across systems.
  • Partner with recruiters and People Operations to resolve missing information, system discrepancies, or process issues that could delay onboarding.
  • Track hiring workflows through completion and proactively follow up on outstanding actions.
  • Help ensure consistent application of established hiring and handoff processes across the Talent Acquisition team.

Talent Acquisition Processes & Documentation

  • Develop and maintain standard operating procedures, process documentation, templates, and resources for recurring Talent Acquisition workflows.
  • Identify recurring operational issues and opportunities to improve recruiting processes, systems, and candidate or hiring-team experiences.
  • Investigate workflow problems, help determine root causes, and develop practical solutions within established Talent Acquisition processes.
  • Implement improvements to day-to-day recruiting workflows in partnership with Talent Acquisition team members.
  • Create resources and provide guidance to recruiters and hiring partners to support consistent adoption of Talent Acquisition processes.
  • Support recruiting programs, systems initiatives, events, and other Talent Acquisition projects as needed.

Your Team

The Talent Acquisition team partners with leaders across LiveRamp to attract and hire exceptional talent while delivering a consistent and inclusive hiring experience.

As a member of the team, you will work closely with Talent Acquisition, People Operations, Executive Assistants, hiring managers, interviewers, and other partners across the organization. You will play an important role in ensuring our day-to-day recruiting operations run efficiently and consistently while helping us continuously improve the processes that support hiring.

About You

  • You have 1–3 years of experience in recruiting coordination, Talent Acquisition operations, HR operations, recruiting, or a related role.
  • You have experience independently managing complex scheduling or other multi-stakeholder operational workflows.
  • You are highly organized and able to independently prioritize multiple tasks, processes, and deadlines.
  • You have strong attention to detail and understand the importance of maintaining accurate information across systems.
  • You are comfortable identifying operational problems, investigating potential causes, and developing practical solutions.
  • You are proactive and resourceful and know when to resolve an issue independently and when to escalate for additional support.
  • You have strong written and verbal communication skills and a customer-focused approach to working with candidates and internal partners.
  • You are comfortable providing guidance to others on established processes and areas within your expertise.
  • You can build strong working relationships with recruiters, hiring managers, Executive Assistants, interviewers, People Operations, and other cross-functional partners.
  • You are comfortable learning and working across HRIS, applicant tracking, scheduling, and collaboration tools.
  • You are based in the San Francisco Bay Area and able to work onsite a minimum of two days per week.
