Tendering Manager

The Tendering Manager will be responsible for leading and managing tendering, framework, and bid-related activities for Pumps and Mixers, supporting the wider business in achieving its commercial, operational, and customer objectives. The role will take ownership of multiple Framework Agreements, ensuring high-quality, compliant, and commercially robust submissions, while driving service excellence, delivery performance, and continuous improvement across the tendering and order fulfilment process.

This role will work cross-functionally with Sales, Operations, Supply Chain, Logistics, Customer Service, and key customer stakeholders to ensure Xylem delivers a high-performing, responsive, and professional service across framework and project opportunities.

What are your essential duties/principal responsibilities?

Lead and manage multiple Framework Agreements for Pumps and Mixers, ensuring contractual obligations, service level agreements, and customer expectations are consistently met or exceeded.

Take ownership of the end-to-end tendering and quotation process, ensuring bids and quotations are prepared accurately, submitted on time, and aligned to commercial strategy, technical requirements, and internal governance.

Oversee opportunity management within CRM systems, ensuring all direct and supply chain opportunities are captured, tracked, and progressed effectively with clear visibility of pipeline and priorities.

Provide leadership in product selection and solution development, ensuring proposals are technically appropriate, commercially competitive, and aligned with customer requirements.

Manage tendering and quotation workload to ensure all quotations are completed within agreed SLA timelines, while maintaining a high standard of quality and compliance.

Oversee the receipt and processing of orders linked to framework and tender activity, ensuring delivery commitments and agreed SLAs are fulfilled.

Ensure all commercial submissions and orders are aligned with pricing policy and that appropriate discount authority and internal approvals are in place.

Build strong working relationships with customers, acting as a senior point of contact for framework-related queries, delivery commitments, escalations, and opportunities outside of the core agreement.

Lead or contribute to regular customer review calls and meetings to discuss performance, delivery status, stock availability, service issues, and continuous improvement actions.

Attend customer site meetings where required, representing Xylem in a professional manner and strengthening long-term customer relationships.

Work closely with the Xylem Field Account Manager and Regional Water Utilities Manager to ensure framework performance is aligned to customer expectations and supports wider strategic account objectives.

Take ownership of customer issues and escalations, ensuring they are resolved promptly, fairly, and in a way that protects both customer relationships and business performance.

Review, analyse, and issue daily, weekly, and monthly inventory, tendering, delivery, and shipping reports, using data to identify trends, risks, and opportunities for improvement.

Drive performance of strategic and consigned inventory across the UK business, ensuring strong visibility, availability, and alignment with customer demand.

Liaise with logistics partners and European factories to resolve delivery issues in an efficient and cost-effective way, balancing customer expectations with operational realities.

Identify and lead continuous improvement initiatives across systems, processes, and ways of working to improve tender turnaround, inventory visibility, delivery performance, and customer experience.

Support inventory governance activities, including stock checks and full stock counts at consignment stock locations where applicable.

Work collaboratively across departments to resolve inventory, shipping, invoicing, and order-related issues in a timely and effective manner.

Support wider departmental and business initiatives as required, contributing to operational excellence, commercial growth, and improved customer satisfaction.

Carry out any other duties that may reasonably be required to support the development of the business and the success of the wider team.

What do we ask from you for this position?

Previous experience in a tendering, proposals, quotations, commercial operations, or framework management role within an engineering environment, ideally within the water industry.

Proven experience of managing complex customer requirements, high-volume enquiries, quotations, orders, complaints, and KPI-driven service delivery.

Strong commercial awareness, with the ability to balance customer needs, technical suitability, operational capability, and business profitability.

Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment, with strong attention to detail and a structured approach.

Experience of working cross-functionally with Sales, Operations, Supply Chain, Logistics, and Customer Service teams.

Good understanding of product application and selection, ideally within pumps, mixers, or related engineered equipment.

Strong stakeholder management and communication skills, with the confidence to engage customers and internal teams at different levels of seniority.

Experience using CRM systems and reporting tools to manage opportunities, track performance, and support decision-making.

A calm, considered, and diligent approach, particularly when managing customer issues, escalations, and changing priorities.

Professional, presentable, and customer-focused, with strong spoken and written English.

A background in operations and logistics, supported by relevant product knowledge, would be highly advantageous.

Experience of identifying and implementing process improvements would be beneficial.
