As an Office Workplace Coordinator you will be responsible for providing first class facilities and administration in partnership with the Global Workplace Services teams. This role suits a resourceful self-starter and team player who will thrive in a dynamic and fast-paced environment, working across our APAC offices.
What You'll Do:
Front-of-house & reception — Serve as a warm, professional first point of contact for guests and visitors. Prepare meeting and conference rooms ahead of bookings, arrange refreshments, and provide hands-on support for video-conferencing and AV equipment.
Office operations & facilities — Support the smooth day-to-day running of the Hong Kong office, logging and following up on facility maintenance, keeping supplies well stocked, and handling occasional courier dispatches and business-card orders.
Pantry & workplace amenities — Keep the office pantry well stocked and thoughtfully curated, and help administer the corporate accounts and platforms that support it (e.g. Lyreco and HKTVmall for supplies, foodpanda for food delivery, and Uber for Business for ground transport).
Vendor coordination — Help coordinate on-site vendors — including catering, cleaning, and facilities suppliers — by gathering quotations, tracking service agreements, and monitoring day-to-day delivery to ensure consistent quality and value.
Visitor & desk coordination — Maintain the visitor travel log, process office visit requests, and prepare desks, foodpanda registration, access cards, and weekly visitor QR-code passes. Partner with the Tech Services team on desk planning, people moves, and visitor facilitation.
Events & employee experience — Help plan and deliver the Hong Kong events calendar — from team lunches, happy hours, and milestone celebrations to larger social and community events — and support managers in organising in-office and off-site activities that bring people together.
Finance & administration — Provide light accounting and administrative support, including cross-checking team invoices, coding expenses, and liaising with the Accounts Payable team on invoices and annual team-spend reporting.
Other duties — Take on additional responsibilities as needed to support the team and keep the office running smoothly.
Skills You’ll Need:
A bachelor's degree in business management or a related field, or equivalent experience and training.
Some administrative or office-support experience; a proactive, willing-to-learn attitude is highly valued in this early-career role.
Strong customer-service skills and a warm, professional, and approachable manner.
The ability to work independently, take initiative, prioritise effectively, and manage multiple tasks at once.
A keen eye for detail, with strong organisation and time-management skills.
Clear and confident written and verbal communication skills.
Proficiency across Microsoft Office, including Excel, Word, and PowerPoint.
Confidence engaging with internal and external stakeholders, and the composure to stay calm and solutions-focused under pressure.
Comfort working on-site five days per week, with reliable and predictable availability.
