Fund Operations Manager - US Funds

WHO WE ARE LOOKING FOR:

Plug and Play is seeking a detail-oriented Fund Operations Manager to manage the back-office operations for our U.S. venture capital funds. In this role, you will oversee day-to-day back-office operations, ensure seamless execution of fund workflows (accounting, audit, tax, compliance), and maintain rigorous oversight over third-party service providers for our US venture funds. The role may expand into work on compliance, fund formation, and investment deal work, depending on qualifications and abilities. Those with a legal or finance background are encouraged to apply.

Key Responsibilities:

Vendor Relationship & Ops Liaison: Serve as the primary operational point of contact for our third-party US fund administrator, holding them accountable to SLAs, accuracy, and reporting deadlines.

Capital Activity Oversight: Coordinate capital calls, LP drawdowns, and distribution processes between internal deal teams, LPs, bank partners, and the fund administrator.

Financial Reporting & NAV: Review quarterly/annual financial statements, NAV calculations, schedule of investments, and capital account statements prepared by the fund admin, confirming they align with the reporting requirements set out in our fund agreements.

Agreement Obligations Tracking: Review LPAs, side letters, and related fund agreements to identify and track LP reporting, financial statement, and notice obligations,.

Audit & Tax Coordination: Facilitate annual audits and Tax (K-1) preparation by serving as the central clearinghouse for docs between external auditors, tax advisors, the Legal team, and the fund administrator.

Capitalization & Transaction Support: Assist deal teams with tracking cash movements for initial/follow-on investments, portfolio company valuations, and reconciling cap table data against financial records.

Cash & Treasury Oversight: Monitor US fund bank balances, review wire instructions for startup investments, and track management fee calculations.

Preferred Qualifications & Experience:

Experience: 3–6 years in venture capital/private equity finance or legal operations. Examples include: fund formation, compliance, fund accounting, fund administration, fund legal operations, contract administration, or compliance support, or Big 4 financial services audit.

US Market Knowledge: Familiarity with US VC fund structures (LP/GP models, capital calls, waterfalls, K-1 tax workflows).

Legal Document Fluency: Legal aptitude and comfort reading and working with legal agreements (e.g., LPAs, side letters, subscription documents), translating contractual terms into operational deliverables.

Languages: Business fluency in English is required (verbal and written) as primary communications are with US vendors and management.

Skills: High proficiency in Excel, financial modeling, and fund administration software.

Personal Attributes: Strong attention to detail, excellent communication abilities, comfort with remote management, and the ability to operate independently.
