Job Details:

Purpose

This position will serve as the primary administrative contact for the Arabic Flagship Program (AFP), housed within the Department of Middle Eastern Studies. This position is grant-funded through at least 5/31/2028.

Responsibilities

  • Program Coordination: Conduct AFP admissions and new student orientations. Assign language partners and manage the language partner program. Advise all AFP students. Conduct recruitment and development outreach and advising strategy with AFP Director and DMES staff. Review applications for and distribute student support. Determine cultural event programing with AFP director and associate director. Facilitate student applications for overseas programs and conduct pre-departure orientation series. Establish agendas, guide discussions, and participate in decision-making processes at weekly AFP director meetings. Represent the Flagship at on-campus events, national conferences, meetings, and public initiatives as AFP program coordinator.
  • Grant Reporting and Funds Management: Work with the director to manage and develop grant budgets, draft, compile and submit reports to the National Security Education Program and other funders; manage and advise in relation to program and student support budgets, including coordination with OSP on submissions, sub-awards and accounts set-up.
  • Personnel management: Manage AFP Graduate Research Assistant and several hourly employees. Establish andprioritize tasks and deadlines, track progress, and coordinate schedules to accomplish program objectives. Evaluate hourly employees’ performance and develop hiring strategy.
  • Oversight of Accounting and Appointments: Manage program and student support budgets. Track all AFP financial transactions to ensure all appointments and payments for staff, faculty, and teaching assistants are processed properly in collaboration with DMES staff. Work with AFP director to set purchasing priorities.
  • Program Management and Evaluation: Oversee and evaluate all AFP administrative procedures. Evaluate program effectiveness. Approve the scheduling of ongoing AFP programs, initiatives, events, visitors, deadlines, projects, andNational Language Flagship assignments. Administer proficiency exams and analyze student proficiency data. Collect and analyze data for program evaluation.
  • Other related functions as assigned.

Required Qualifications

Bachelor's degree. Three years of experience in coordinating activities of a program or project, to include some combination of budget management, events planning and logistics, staff supervision, workflow planning and prioritization, program reporting and evaluation, grant administration, and coordinating an educational program. Experience working and communicating directly with students in an academic setting. Professional demeanor and excellent interpersonal skills with demonstrated ability to work and prioritize multiple tasks simultaneously, many with deadlines. Demonstrated ability to effectively use computer applications, including Microsoft Office.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Arabic language experience. Working knowledge of relevant policies and procedures at UT Austin. Experience coordinating a study abroad program. Experience working or living in an international environment. Experience with international students and faculty. Knowledge of a foreign language and foreign language learning processes.

Salary Range

$54,000
