Our reputation has been built on great work, strong relationships, and a team of people who care about what they do. We're looking for a Reception / Office Administrator to become an important part of that team.

This is more than a front desk position. You'll be one of the people who helps make Landmark feel like Landmark — welcoming clients, supporting our employees, keeping important details organized, and helping our office run smoothly.

About the Role

This is a full-time, in-office position with reception as an important part of the role . You'll be the first point of contact for clients, visitors, employees, vendors, and subcontractors and help create a professional, organized, and welcoming experience.

Beyond reception, you'll provide administrative support across the company, including Health & Safety, HR, bookkeeping, company systems, employee initiatives, and events.

We're looking for someone who enjoys helping people, takes pride in being organized and accurate, and likes being part of a close-knit team.

What You'll Do

Reception & Office Administration

Welcome clients, visitors, vendors, subcontractors, and employees.

Answer and direct incoming calls and general inquiries.

Manage deliveries, mail, couriers, office supplies, and the front entrance.

Maintain an organized and welcoming reception and office environment.

Maintain digital and physical filing systems.

Assist managers and our office team with day-to-day administrative needs.

Provide administrative support within LMN and other company systems.

Health & Safety / JHSC

Maintain Health & Safety records, training files, and documentation.

Track employee certifications, licences, training, and expiry dates.

Coordinate required Health & Safety training.

Support the Joint Health & Safety Committee, including meetings, minutes, inspections, and follow-up.

Assist with toolbox meetings, incident documentation, and other Health & Safety initiatives.

HR & Employee Support

Assist with employee onboarding, offboarding, and recruitment administration.

Maintain employee records and documentation in BambooHR.

Track training and certifications and assist with benefits administration.

Support employee recognition, milestones, staff events, and wellbeing initiatives.

Bookkeeping & Financial Administration

Provide administrative support to our accounting team.

Assist with invoicing, accounts payable, accounts receivable, and payroll support.

Assist with receipts, documentation, filing, and data entry.

Work within QuickBooks and other company systems as required.

Events & Company Support

Help plan and coordinate staff functions, training days, meetings, our annual Open House, and other company events.

Coordinate food, vendors, supplies, registrations, schedules, setup, and other event details.

Provide general administrative support across the Landmark team.
