Inviting applications for the role of Specialist(4B), Switzerland

Role Purpose

Support end-to-end Talent Acquisition activities by assisting with recruitment coordination, candidate management, onboarding administration, stakeholder communication, reporting, and documentation to ensure a seamless hiring experience and timely fulfilment of workforce requirements.

Responsibilities

  • Support the recruitment lifecycle by coordinating interview schedules, candidate communications, and hiring activities.
  • Maintain candidate records and ensure all recruitment documentation is complete, accurate, and up to date.
  • Facilitate onboarding activities by collecting required documents, managing pre-joining formalities, and supporting new hire integration.
  • Assist in workforce planning activities by tracking hiring requirements and supporting recruitment demand assessments.
  • Support hiring managers and stakeholders by providing timely updates on recruitment progress and open positions.
  • Coordinate recruitment events, hiring campaigns, induction sessions, and engagement activities.
  • Track candidate pipelines and ensure timely progression through recruitment stages.
  • Monitor and maintain recruitment data, dashboards, and reports to support decision-making and workforce planning.
  • Support the administration of recruitment platforms, applicant tracking systems, and talent databases.
  • Handle candidate, employee, and stakeholder queries related to recruitment and onboarding processes.
  • Process and manage recruitment-related tickets, requests, and service inquiries within defined service levels.
  • Prepare periodic reports, presentations, and recruitment metrics for management review.
  • Maintain recruitment documentation, process guidelines, and compliance records.
  • Support audit, compliance, and data quality activities related to recruitment and onboarding.
  • Collaborate with internal and external stakeholders to ensure effective recruitment service delivery.
  • Participate in continuous improvement initiatives aimed at enhancing recruitment processes, candidate experience, and operational efficiency.

Qualifications we seek in you!

Minimum Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Psychology, Management, or a related field.
  • 0-2 years of experience in Talent Acquisition, HR Operations, Recruitment Coordination, or HR Shared Services.
  • Basic understanding of recruitment and onboarding processes.
  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, and PowerPoint.
  • Strong organizational and administrative skills.
  • Ability to manage multiple tasks and maintain data accuracy.

Preferred Qualifications/ Skills

  • Exposure to Applicant Tracking Systems (ATS) and HRIS platforms.
  • Strong stakeholder management and communication skills.
  • Understanding of recruitment lifecycle and candidate management processes.
  • Data analysis and reporting capabilities.
  • Attention to detail and high level of accuracy.
  • Ability to handle confidential information professionally.
  • Customer-service orientation with strong problem-solving skills.
  • Experience supporting recruitment campaigns, hiring events, or onboarding activities.
  • Knowledge of recruitment metrics and reporting.
  • Continuous improvement and process optimization mindset.
  • Strong collaboration and teamwork skills.
