JOIN THE TEAM THAT MAKES A DIFFERENCE IN THE LOCAL COMMUNITY!

HYBRID SCHEDULE

Westside Family Healthcare is a nonprofit organization that provides high quality primary medical care. Westside Family Healthcare is seeking a Grants Manager, Post-Award & Compliance to lead post-award administration, financial monitoring, and compliance for the organization's federal and other grant-funded programs.

The Grants Manager's initial focus will be on the organization's current portfolio of federally funded awards administered through state and other pass-through entities. The role will oversee the full post-award lifecycle, working closely with program leadership, Initiative Leads, Finance, external partners, and funding agencies to ensure grants are administered in accordance with applicable federal, state, and organizational requirements.

The role reports to the Executive Program Director, Rural Health Transformation, and works closely with the Director of Finance and Accounting. This is an individual contributor position with no direct reports.

CORE RESPONSIBILITIES:

  • Lead day-to-day post-award administration for assigned federal and other grant-funded programs, managing award requirements, amendments, deadlines, reporting obligations, approvals, and other grant-related deliverables.
  • Ensure grant compliance with applicable federal requirements, including 2 CFR Part 200, state and pass-through entity requirements, award terms and conditions, and organizational policies.
  • Maintain grant calendars, files, and documentation to ensure reporting deadlines are met and all grant records are complete, organized, accurate, and audit-ready.
  • Monitor grant budgets and expenditures, including budget-to-actual performance, spending trends, burn rates, commitments, variances, and potential underspending or overspending.
  • Develop and maintain grant spending forecasts in collaboration with program leadership and Finance, identifying financial risks and opportunities and supporting timely decisions about grant resources.
  • Review grant-funded expenditures, invoices, and financial activity for allowability, allocability, documentation, budget alignment, and compliance with award and contract requirements, while coordinating with Finance to reconcile grant activity to the general ledger.
  • Prepare and coordinate required financial reporting, including reimbursement requests, supporting schedules, budget revisions, annual and multi-year budgets, and requests for prior approval or other funder action.
  • Oversee grant-related procurement and contracting compliance, including competitive procurement requirements, sole-source documentation, contractor and subrecipient classification, scopes of work, budgets, contracts, and required monitoring documentation.
  • Partner with program leaders, Initiative Leads, Finance, vendors, subrecipients, and funding agencies to resolve grant administration, financial, compliance, and documentation issues and ensure corrective actions are completed.
  • Coordinate grant monitoring, audits, and closeout activities, including state and federal monitoring, Single Audit requests, reconciliations, corrective actions, final reporting, outstanding commitments, and grant record retention.
