Job Description: Title Clerk

Reports to: Office Manager / Controller

Department: Administrative / Accounting

  • Position Summary
  • The Title Clerk is responsible for processing all vehicle titles and related documentation with accuracy and efficiency. This position ensures compliance with state and federal regulations, maintains dealership records, and provides excellent customer service to both internal staff and external customers. The Title Clerk plays a key role in maintaining the smooth operation of the dealership’s administrative functions.
  • Essential Duties and Responsibilities

Process all new and used vehicle titles, transfers, and registrations accurately and in a timely manner.

Prepare and submit required documents to the appropriate state and county offices.

Ensure compliance with DMV, state, and federal regulations.

Maintain accurate records of all title transactions and reconcile title schedules.

Resolve any title discrepancies with the DMV, lienholders, or customers.

File, organize, and maintain all title paperwork in accordance with dealership and audit standards.

Communicate with customers, sales staff, and lenders to obtain necessary information or resolve title-related issues.

Assist with payoff checks for trade-ins and ensure titles are received promptly.

Support other office staff with clerical duties as needed.

Qualifications

Previous dealership or title experience preferred; accounting or clerical background considered.

Strong attention to detail and accuracy.

Ability to handle confidential information with discretion.

Excellent organizational and time management skills.

Proficiency with computers and office software; CDK experience a plus.

Strong communication and customer service skills.

Working Conditions

Full-time position, Monday through Friday.

Office environment with regular use of computers, phones, and filing systems.

Occasional interaction with customers, lenders, and DMV offices.

Physical Requirements

Ability to sit, stand, and work at a computer for extended periods.

Light lifting of files, boxes, and office supplies as needed.
